Position Summary
The Inventory and Procurement Specialist is responsible for managing the purchasing, tracking, and distribution of materials, supplies, and equipment to ensure optimal inventory levels and efficient procurement operations. This role requires strong attention to detail, vendor management skills, and a proactive approach to maintaining accurate records and supporting organizational needs.
Key Responsibilities
• Procurement Management:
o Source, negotiate, and purchase materials, supplies, and equipment in line with budget and quality standards.
o Develop and maintain vendor relationships, evaluate supplier performance, and ensure timely delivery.
o Prepare and issue purchase orders, track order status, and resolve discrepancies.
• Inventory Control:
o Monitor stock levels to prevent shortages or overstock situations.
o Conduct regular inventory audits and reconcile discrepancies.
o Maintain accurate records of inventory transactions in the Vintrace, Quickbooks and Fort Systems.
o Coordinate with departments to forecast demand and plan purchases accordingly.
• Data and Reporting:
o Prepare reports on inventory levels, purchasing activity, and cost analysis.
o Identify opportunities for cost savings, process improvement, and supplier consolidation.
• Logistics and Coordination:
o Oversee receiving, storage, and distribution of goods.
o Ensure compliance with company policies, safety regulations, and industry standards.
Qualifications
• Education: Associate’s or Bachelor’s degree in Business Administration, or related field (or equivalent experience).
• Experience: 2–5 years of experience in inventory management, procurement, or supply chain operations.
• Skills:
o Strong analytical and problem-solving abilities.
o Proficiency with Excel and inventory or POS systems such as Vintrace, Fort Systems Wine Direct, Commerce7, QuickBooks, or similar).
o Excellent organizational and communication skills.
