SUMMARY
The Events Coordinator at Grgich Hills Estate is the primary point of contact for winery events, playing a key role in creating memorable guest experiences at our historic Napa Valley estate. This individual will work closely with outside event coordinators/planners, outside vendors, and internal teams to ensure seamless event execution. This role focuses on promoting the venue, delivering exceptional guest experiences, cultivating long-term relationships, and driving wine sales while creating meaningful guest relationships.
RESPONSIBILITIES
• Plans, organizes, facilitates, and executes private and company-sponsored hospitality events. Reviews and maintains calendar of events for all private and internal sponsored events; secures all necessary staffing, equipment, and other event-related requirements.
• Creates and maintains event proposals, contracts, and event orders for all events (meals, meetings, and larger events both internal/external) to include accurate timeline, schematics, vendor contracts, event details, and guest requests within winery parameters.
• Serve as the lead contact for all external and internal event inquiries; follow up on all event inquiries in a timely and professional manner.
• Ensure event spaces are guest-ready: clean, stocked, climate-controlled, and fully functional. Coordinate with facilities and maintenance team as needed.
• Act as Event Captain during events; communicate with and supervise event staff to ensure accurate event operations and precise flow of event timeline.
• Oversee post-event breakdowns and walkthroughs to verify cleanup, proper storage of assets, and follow up with vendors on any issues or missing items.
• Strategically create wine sales opportunities before or during events, ensuring every occasion is used to engage guests and grow the customer database.
• Coordinate staff scheduling with the Tasting Room Manager to ensure adequate coverage for daily operations and events.
• Maintain a clean, welcoming, and orderly special events environment, including both front and back of house.
• Troubleshoot and resolve guest issues graciously and efficiently.
• Represent the Grgich Hills Estate brand at on- and off-site events as requested.
• Stay updated on local and industry trends, including dining, lodging, and neighboring winery offerings and trends.
• Flexibility to work evenings, weekends, and holidays as event needs dictate.
• Conduct opening and closing procedures as needed for event venues.
• Always follow winery policies and procedures.
• Learn constant and continuous brand knowledge.
• Always follow Responsible Beverage Service.
• Other duties as assigned.
QUALIFICATIONS
Required Experience & Skills:
• Minimum of two years of event experience in a hotel, restaurant, or winery setting.
• Prior customer service experience.
• Must be at least 21 years of age.
• Highly organized with strong multitasking abilities.
• Proficient in MS Office programs.
• Excellent written and verbal communication skills.
• Must have or be able to obtain California Responsible Beverage Service (RBS) Certification and Food Handler's Certification.
• Able to lift up to 50 lbs. and stand/sit for long periods.
• Flexible to work evenings, weekends, and holidays as needed.
Preferred Experience & Skills:
• WSET certification is a plus.
• Knowledge of culinary and etiquette fundamentals is a plus.
• Advanced knowledge of wine and food is a plus.
