Executive Assistant/Bookkeeper

Job Description:

Harper’s Club is a bespoke wine advisory firm offering access to the very best wines, travel, events, tastings and dinner experiences for high-net worth clients. Our team builds world class wine collections and takes care of them for our clients. As our Executive Assistant and Bookkeeper you will work full-time in the Founder’s home office in Burbank, California. Your responsibilities will be in three areas: assistant to the Founder of Harper’s Club; company administration; and travel itineraries.

Responsibilities

Manage the Founder’s calendar, email correspondence, credit card expenses, and reservations.
Support the Founder in managing a discreet and minimal social media presence.
General office administration including maintenance of the company website.
Support the Director of Finance as needed, including the creation of quotes and invoices for our cellar management services, and reconciling credit card expenses.
Plan and book high-end travel itineraries and events for Harper’s Club clients.
Assist in human resource management, including new employee on-boarding, backup payroll processing, and ensuring compliance with California labor law.
Monitor and purchase office supplies, equipment, and electronics, working within the company’s sustainability goals.
Book company travel, accommodation, and restaurants.
Occasional wine deliveries or pickups from clients in the LA area.
Occasional travel in support of Founder.
Other tasks as assigned by Founder.

Qualifications

7-10 years of experience as an Office Manager or Executive Assistant, preferably with high-net worth individuals
Previous experience and network in the wine, travel or hospitality industry
Proficiency in Apple IOS systems - Macbooks, MS Office on Macbooks (Excel, Powerpoint, Word), Google applications, and Mailchimp required
Professional written and verbal communication skills required
Excellent social media skills: Instagram, Facebook, X and scheduling platforms, such as LATER
Excellent time management skills and the ability to multi-task and prioritize work
Attention to detail and problem-solving skills
A creative mind with an ability to identify areas for improvement
Undergraduate degree preferred
