About the Role
This role is responsible for the planning, coordination, and execution of events, including social gatherings, corporate functions, tastings (in-person and virtual), weddings, proposals, internal wine club events, and more. Under the supervision of the Events Manager, this position supports both client-facing service and behind-the-scenes event operations.
Fixed-term opportunity for 3-4 months.
Key Responsibilities
Events
* Conduct site inspections and assist in showcasing estate offerings.
* Support event sales through order creation, upselling, and vendor invoice processing.
* Coordinate vendor logistics including catering, rentals, and transportation.
* Serve as main client contact throughout the event lifecycle.
* Create event schematics and timelines with the Sales Manager.
* Maintain accurate event details in Triple Seat.
Event Execution & Operations
* Lead event setup, execution, and breakdown, including wine service and vendor direction.
* Represent the brand during events, liaising with clients, staff, and vendors.
* Ensure all event elements meet brand standards for luxury and safety.
* Promote wine sales and shipping during events.
Collaboration & Strategy
* Participate in weekly meetings with Events, Trade Education, and Hospitality teams.
* Collaborate to refine offerings across tastings and private experiences.
Additional Responsibilities
* Maintain vendor relationships and professional communication.
* Evaluate safety logistics and act as safety lead when needed.
B2B / Gifting
* Manage logistics for Virtual Tastings and Corporate Gifting, including inventory, compliance, and billing.
* Maintain client communication and moderate virtual platforms.
About you
* You have an Associate Degree or at least (3) years of event planning in a high volume event business, preferably in a high-end hospitality, winery, or luxury brand environment
* You have event execution experience
* You are highly proficient with computer software, including Microsoft Office Suite (Word, Excel, Publisher, Power Point, and Outlook), CRM/event management platforms (e.g., TripleSeat, Salesforce), and the ability to quickly learn and navigate complex internal systems
* You enjoy connecting with guests, managing detailed events, upselling products and services, managing multiple guests at a given time
* Excellent written and verbal communication and negotiation skills
* You have excellent attention to detail
* You are self-motivated
* You are able to stay positive and provide excellent customer service and hospitality to internal and external stakeholder groups.

Pay Transparency Disclosure: The base pay range offered for this position is $28.00 to $30.00 per hour and other benefits. These figures represent what we reasonably expect to pay for this position, but the actual compensation offered will depend upon numerous job-related factors, including but not limited to candidate qualifications, skills, experience, education, location, and alignment with market data. Our expectation is that the incumbent will work out of our St. Helena location. If the incumbent works out of another location, the wage rate may fall above or below this range. Treasury reserves the right to modify the range in the future.
