The Wine Club Manager is an essential position on our DTC team. We have added headcount and improved our systems and we are bringing online new DTC exclusive wines to offer to our club and in our recently launched tasting room. Our DTC business has some serious momentum, and we need a dynamic and motivated player to help us grow our Wine Club membership and contribute to building a culture of success.
This role is consumer facing and requires outstanding relationship building and selling skills. You’ll work with the DTC Director to create strategies for Wine Club and overall DTC success. You will also work closely with customers, club members and the trade on the phone and through email and text.
This position has 2 key areas of responsibility:
1. 70% Wine Club program management Direct to Consumer
2. 30% Operations, Tasting Room interactions and Logistics
Key relationships
Internal: Marketing, Compliance, Sales, Administration, Finance, IT, Quilt and Co
External: Club Members, customers, vendors, fulfilment centers, etc..
Key responsibilities and accountabilities
WINE CLUB PROGRAM MANAGEMENT
• Club: Lead Wine Club daily operations to ensure seamless member service and communications.
• Club Growth: Collaberate with Management & team to create & implement effective Wine Club growth, retention and loyalty strategies to reach and exceed our membership growth objectives and overall DTC sales goals.
• Club Shipments: Manage Wine Club Shipments from beginning to end.
• Club Order Fulfilment: Ensures successful and compliant, seasonal and year-round wine shipments to Wine Club members.
• eCom|Text|Phone Sales: Key contributor, with Management & DTC Coordinator in creating and facilitating phone | text | email sales & communications with Wine Club members.
• Club Structure: Consider and propose (as warranted) any revisions to current Club programs, as well as potentially propose new Clubs to remain relevant and responsive to our specific consumer demands and wants.
• Database Management: Manage Wine Club database, including regular vetting for needed updating & culling.
• CRM Platform: Superuser within our CRM and Club Management platform Commerce 7.
• Club Marketing: Collaberate with Management & Marketing in creating effective and brand befitting, digital and print Wine Club membership collateral and promotional materials.
• Club Goals: With Management, create annual membership growth (gross and net) and channel income goals. Track actuals versus plan and react/adjust accordingly.
• Staff Training and Incentivizing: With Management, create and facilitate staff Wine Club training & selling incentive programs.
• Compliance: Ensure all Wine Club shipments are compliant in all regards. Adept at using our Ship compliant platform.
• Always Improving: Holds and promotes an attitude of ALWAYS being able to evolve and improve any aspect of our Wine Club and overall DTC program.
DTC
• Contribute to the creation and execution of marketing programs with social media, Phone Sales and Text (Redchirp) teams to ensure maximum results.
• Shipping: Significant role in managing all wine club member wine shipping as well as other DTC related wine and merch sales shipping.
• Improve and implement processes to ensure efficient, effective, and consistent business operations.
• Develop and manage budgets, forecasts, and reports related to the wine club program
• Provide exceptional service and respond to member inquiries in a timely manner
• Compliance: Work with management to ensure compliance with all legal and regulatory requirements related to wine sales and shipping
• Continuously monitor industry trends and best practices and recommend changes to the wine club program as needed
Operations and Logistics
• Assist & support all DTC operations, inventory movement and monitoring DTC holds and all back-of-the-house elements of DTC.
• Inventory: Contributes to the overall management of inventory, including keeping par levels at each location, inventory counts and reconciliations and all else related.
• Support the marketing team and other departments on an ad-hoc basis with event participation and other activities
• Maintain departmental procedural documentation and ensure they are clear, complete, and concise
• Maintain appropriate documentation to ensure clear and consistent communication within the department, the organization, and with customers
