The Events Coordinator is responsible for daily support to the Events Department. This position requires a high level of discretion, organization, and attention to detail to perform the essential duties necessary directly related to the policies and practices of events.
Essential Functions:

• Responsible for answering the telephone or coordinating telephone answering coverage when needed.
• Maintain master schedule of events, activities and programs; enter required events in Visual One; create BEO’s
• Assist with preparing event menus and curriculum collateral; escort cards, place cards and table assignments
• Interface with Members to ensure the highest-level service.
• Assist Events department with all aspects of expediting events, including but not limited to; creating timelines, preparing event materials, setting up tastings and preparing our premium wines for service.
• Assist in service of food and beverage, have knowledge of food and beverage menu for each event and set up and breakdown of any event function.
• Assist with tasting set-up and clean-up, receive and greet guests/visitors
• Assist in keeping events spaces organized, stocked and fully equipped for tastings
• Coordinate furniture placement for events and monitor equipment
• Coordinate and assist with delivery services and vendors on site
• Assist with stocking all coolers for events and as needed
• Manage Curriculum RSVPs
• Create and file event folders
• Prepare and distribute the Daily Update
• Office support as directed: coordinate schedules, arranging teleconferences, and business correspondence
• Manage Library
• Maintain events calendar for meetings and events.
• Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
• Support Club Manager and Events Manager on a daily basis
• Prepare expense reports as needed and Special projects as requested.
• Assist with execution of events as needed.
Qualifications:
• Education: College degree preferred
• Years of Experience: 2 or more years’ experience in hospitality dealing with high end wine consumers, preferred, to successfully meet the highest level of standards set by The Napa Valley Reserve and its Members.
• Strong computer skills, including proficiency with Microsoft Office, Outlook and navigation of Internet.
• Excellent written and verbal communication skills.
• Ability to reason well and to solve problems logically and thoroughly.
• Ability to keep office space neat and organized.
• Gracious hospitality, professional demeanor and dress
• Attentiveness, attention to detail and follow up in all areas of production and communication
• Ability to stay calm under pressure
• Positive attitude with a willingness to pitch in when necessary
• Available to work nights, weekends and holidays
Working Conditions:
• Stand for long periods of time (60% on feet and 40% sitting at desk)
• Have frequent need to perform the following physical activities: bend/stoop/squat, climb stairs, push or pull, reach above shoulders
• Extensive computer work
• Frequent deadline pressures
• Numerous projects in progress at any given time
• Occasionally lift up to 40 lbs.
Compensation & Benefits:
The base pay range for this position is $28.00 – $32.00 per hour. This represents the range The Napa Valley Reserve reasonably anticipates paying for this role. The final offer will be determined based on a candidate’s experience, education, and other job-related qualifications.
