Wine Club & Shipping Coordinator

Location: Sonoma, CA

Reports to: DTC Manager & Owner

Position Overview
The Wine Club & Shipping Coordinator ensures smooth operations for wine fulfillment, wholesale logistics, and member services at Ty Caton Vineyards. This role is responsible for overseeing wine shipments, managing wine club memberships, and providing excellent customer support while maintaining efficient office organization. The ideal candidate is highly organized, proactive, and customer-focused with the ability to balance multiple priorities in a fast-paced winery environment.

Key Responsibilities
Shipping & Fulfillment
•  Oversee all outgoing shipments to ensure safe, timely delivery.
•  Monitor weather conditions and proactively place holds or upgrade shipments with temperature-control solutions; communicate with customers regarding delays and fees.
•  Process orders through fulfillment partners, troubleshoot inventory issues, and coordinate special shipments (library wines, wholesale, Costco, Sommsation, Rising Star, etc.).
•  Track and resolve missed deliveries, damaged or lost shipments, and returned wines, including filing and managing claims.
•  Assist customers with shipping reroutes and apply applicable fees.
•  Manage large-scale wine movements and coordinate distributor orders.

Wine Club
•  Serve as the primary point of contact for members, responding to inquiries regarding shipments, benefits, and account details.
•  Conduct onboarding calls with new members to confirm information, explain membership benefits, and ensure accurate setup.
•  Support retention by following up on declined payments, cancellation requests, and at-risk memberships with proactive outreach and solutions.
•  Assist with seasonal club releases, special requests, referral bottles, and upsell opportunities.

Customer Service & Office Support
•  Respond promptly to customer communications via email, phone, and text.
•  Maintain organized office and winery spaces, ensuring supplies (packaging, collateral, tasting room wine) are stocked.
•  Assist with event preparation, including wine allocations, décor, and logistics.
•  Perform regular inventory counts and coordinate with accounting and management on reporting and supply needs.
•  Prioritize and complete time-sensitive requests from management.

Qualifications
•  Experience in shipping, logistics, customer service, or the wine industry preferred.
•  Strong organizational and problem-solving skills; ability to manage multiple tasks at once.
•  Excellent written and verbal communication skills with a customer-first approach.
•  Proficiency with CRM systems, shipping software, and Microsoft Office.
•  Ability to lift up to 40 lbs and assist with wine handling as needed.
•  A proactive, detail-oriented mindset and the ability to work independently and as part of a small team.
