Under the direction of the Senior Vineyard Manager, the Administrative Assistant assists with all administrative support for the SLWC vineyard team.
Twenty (20) hours per week
4 hours per day Monday through Friday (flexible hours between 7am-4pm)
Fixed schedule each day
Responsibilities:
• Communicate with Farm Labor Contractors to receive and audit timecards on a daily basis
• Utilize AgCode extensively for time entry of FLC and internal employees
• Maintain updated list of vineyard material costs in AgCode
• Utilize Paylocity for internal vineyard employee payroll
• Build year to year comparisons of data to track trends in costs and hours per acre of vineyard activities
• Assist vineyard management team with any special projects such as research projects, safety, compliance, and communication
• Responsible for compliance with sustainability policies and practices which are economically viable, socially acceptable, and environmentally sound. This is done by supporting the CCOF and ROA program for farming sustainably, conservation, energy efficiency, and recycling
• Follow safe operating procedures, support safety programs and policies to safeguard personal safety, company property, environmental and team member’s safety
• Administrative and office support for the Vineyard Operations team
• Utilize NetSuite to ensure timely payment of vendors
• Assist with onboarding new vendors in NetSuite database
• Other duties as assigned
Qualifications and Requirements:
• Bilingual Spanish/English
• Team Player – ability to thrive in a tightly-knit collaborative team environment
• Self-starter – able to identify work that needs to be done and do it without being instructed to do so
• Required to possess a valid driver's license and driving record must be insurable
• Computer skill requirements include: MS Word, MS Excel, and MS Outlook
• Must be detail oriented and precise.
• Must be organized and keep good records.
• Must communicate messages clearly with management, employees, and vendors.
• Must have a strong background in data entry and management
• Must be eager to continue learning and to expand on his/her winegrowing knowledge.
• Commitment to safely with and around all aspects of a vineyard and winery environment.
• AgCode experience a plus or ability to learn
• NetSuite experience a plus or ability to learn
• Able to lift 50 lbs.
