Job Description:
The Shipping and Inventory Specialist ensures the accurate, efficient, and consistent management of
daily orders, wine club shipments, and seasonal campaigns, including holiday gifting. This position is
critical to maintaining high customer satisfaction while overseeing inventory and shipping operations to
support the team’s overall success. Functions and qualifications include:
Shipping Management
• Oversee the daily shipping process, ensuring accuracy and efficiency.
• Pack and ship orders processed in-house and coordinate with 3rd-party shipping partners as
needed.
• Manage logistics for seasonal campaigns, including holiday gifting and virtual tastings.
• Import tracking numbers into systems (e.g., Commerce7) and ensure orders are updated as
shipped.
• Address shipping exceptions, such as damaged shipments, address changes, or inventory
shortages, while maintaining customer satisfaction.
Inventory Management
• Monitor and maintain inventory levels at multiple locations (e.g., warehouses and estate).
• Perform daily inventory checks for key SKUs, ensuring accuracy and availability for sales and
shipments.
• Coordinate inventory movements to fulfillment centers and other storage locations.
• Maintain and monitor estate inventory locations keeping each location organized and stocked.
• Conduct cycle counts, monthly reconciliations, and full inventory audits to ensure accuracy.
• Log and manage damaged or returned inventory, ensuring proper handling and documentation.
• Maintain and monitor all SKU’s in POS system including but not limited to: creating SKU’s,
updating and managing inventory in Commcerce7.
• Maintain and monitor all dry goods inventory and work with proper team members on reorders
as necessary.
Production and Packaging Coordination
• Work closely with Director of Operations and Production Team on pre and postproduction items
for bottling including bottling dates.
o This position will also be expected to communicate all release dates with production to
ensure deadlines for bottling and postproduction are met.
• Coordinate barrel samples of futures wines to have at the estate and maintain all components of
‘Art of Blending’ experience.
• Coordinate all post bottling packaging of all wines. This includes but is not limited to:
o Ordering brand boxes
o Coordinating all post bottling waxing
o Coordinating all inventory movement
o Coordinate with private client coordinator to complete all private
label and/or one off projects
Wine Club Shipments
• Collaborate with the DTC Manager to prepare for wine club shipments, including customizations
and inventory forecasting.
• Ensure all required inventory is at the shipping warehouse well in advance of billing.
• Perform final checks on shipping strategies, inventory, and deadlines before billing.
Seasonal Campaigns and Additional Support
• Collaborate with Marketing and Operations teams on planning holiday and seasonal
campaigns.
• Create and communicate shipping deadlines for major holidays (e.g., Thanksgiving, Christmas,
New Year’s).
• Coordinate additional team support during high-volume shipping periods that can include but is not limited to hosting tastings.
• During periods of high customer service demand, this position will support the Customer Service
department by responding to emails and answering phone calls
Quality Control and Reporting
• Maintain high standards for packing and shipping accuracy using a detailed quality control
checklist.
• Generate reports on inventory levels, shipping accuracy, and trends to support forecasting and
operational decisions.
• Monitor shipping KPIs, such as on-time delivery rates and order accuracy.

• Exceptional organizational skills with the ability to prioritize and multitask
• Strong attention to detail to ensure accuracy in shipping and inventory tasks.
• Effective communication skills for collaborating with team members, resolving customer issues,
and providing updates to management.
• Proactive problem-solving abilities, particularly for inventory shortages, production changes,
shipping errors, and high-priority orders.
• Ability to work effectively during high-volume shipping periods, such as holidays or wine club
releases.
• Ability to work within a small team and take direction from peers
• Positive attitude
• Assist with all winery events
• Ability to work weekends and most holidays is required
• Ability to stand for long periods of time
• Ability to lift a standard case of wine multiple times (50 lbs)
