Position Summary: The Executive Administrator for the Yamhill-Carlton Winegrowers Association (YCWA) is responsible for all administrative duties in support of activities essential to the board and membership of the YCWA.
Time Commitment: Average 25-30 hours per month, extra hours possible for special event support
Location: Northern Willamette Valley, Yamhill Carlton area preferred
Reports to the board of directors, with priorities and time allocation set by the president, but working directly under the guidance of Marketing, Member Services, and Community Outreach chairs.
Primary Responsibilities
General Administrative:
Coordinate communications between the YCWA Board, committees, and general membership.
Provide timely communication of scheduled board meetings to directors
Provide remote meeting set up as needed to accompany in-person board meetings
Attend monthly board meetings and take minutes (including motions and action item)
Submit draft to Secretary within 72 hours for review/dissemination
Website update coordination and collaboration with Vinbound
Maintain records, including by-laws and other relevant documents.
Maintain google drive for all association related work.
Marketing Support:
Attend monthly Marketing Committee meetings and take minutes
Submit draft to chair within 72 hours for review/dissemination
Identify external funding sources, write and submit grants applications
Act as a resource for event planning, coordination, communication, and execution.
Monitor website consumer email inquiries, respond or refer as appropriate, insuring timely follow up
Coordinate monthly website event page maintenance and updates through Vinbound
Member Services Support:
Meet monthly with Member services chair.
Act as a resource for event planning (annual meetings), coordination, communication, and execution.
Monitor member email inquiries, respond or refer as appropriate, insuring timely follow up.
Assist the membership chair to coordinate member recruitment, delinquent AR follow-up, et al..
Provide remote meeting set up as needed to accompany in-person association meetings.
Support for other programs and ad-hoc committees as required.
Qualifications:
Familiarity with Willamette Valley wines and wine business in general
Formal training/certification in wine (WSET, CMS, etc) preferred
Associates degree (or higher) in marketing, business management, or related field
Current OLCC servers license
Current Driver's license (and personal transportation to attend in person meetings)
Proficiency operating computer applications including, Word, Excel, Quickbooks, and Mail Chimp
Strong organizational skills required
Proven track record in writing successful grant applications highly desirable
Must have own phone and laptop or computer to work with
Compensation/Terms:
Approx $40/hour DOE
Required attendance at board and committee meetings (no compensation for travel time or expenses)
This is a hybrid position requiring a home office with regular in-person engagement in the Willamette Valley region, with flexibility for remote work.
Some evening and weekend work is expected for membership, trade, and consumer events.
Travel throughout the region may be required for meeting and special event planning and execution
Milage compensation for travelling to/from special events.
This position is as an independent contractor (1099) and offers no benefits
This position is a “work made for hire” position and the YCWA retains all ownership of, and rights to, materials and intellectual property generated on behalf of the YCWA.
