Reports to: Sales Manager
Compensation: $48,000–$56,000 base + performance-based incentives

Position Summary
The DTC & Wine Club Coordinator plays a key role in building lasting customer relationships through wine club engagement, direct-to-consumer sales, and outstanding tasting room hospitality. This position supports the growth and retention of our wine club, ensures smooth and compliant order fulfillment, and helps implement DTC marketing initiatives. You’ll work closely with a small, collaborative team and report directly to the Sales Manager, contributing hands-on to hospitality, operations, shipping, and marketing.

Key Responsibilities

Commerce7 Responsibilities
The DTC & Wine Club Coordinator must be fluent (or quickly become fluent) in all aspects of Commerce7—our core platform for point-of-sale, wine club, ecommerce, and CRM. This role will serve as the internal expert and day-to-day operator of Commerce7, ensuring accurate data management, seamless guest interactions, and efficient fulfillment processes.

Wine Club Setup and Management:
o Build and manage multiple wine club tiers, including member preferences, allocations, club shipment templates, and scheduling.
o Process new signups, changes, holds, and cancellations directly within the system.
o Monitor and resolve failed payments, shipment errors, and customer service needs related to club activity.
o Facilitate wine club customizations and special handling requests with care and accuracy.

Customer Relationship Management (CRM):
o Maintain clean, accurate customer records including contact information, order history, notes, and club status.
o Utilize tags, filters, and customer segments to personalize marketing efforts and drive sales.
o Track guest activity and identify engagement opportunities within the tasting room and online.

POS & Tasting Room Integration:
o Provide warm, knowledgeable hospitality to guests, promoting wine sales and wine club signups
o Support daily tasting room operations: pouring, setup/cleanup, opening/closing duties
o Guide tasting room staff on service standards and club talking points
o Maintain a clean, welcoming tasting space and manage inventory of supplies and merchandise
o Record guest data and feedback in POS/CRM for ongoing engagement.

Sales & Marketing Support
o Execute wine club email campaigns and promotions
o Assist in developing content for newsletters, club collateral, and social media
o Analyze customer purchase behavior to inform personalized communication
o Support marketing and sales efforts related to seasonal releases, holiday campaigns, and events

Ecommerce & Order Fulfillment:
o Manage all aspects of DTC order fulfillment, including wine club, online, and phone orders
o Ensure timely and compliant shipping through fulfillment software (e.g., Commerce7, UPS, FedEx)
o Monitor shipping holds, returns, weather delays, and re-shipments, maintaining awareness with customers and STI staff.
o Communicate with customers about order status, tracking, and delivery issues
o Prepare shipments in accordance with legal compliance and packaging best practices

Reporting & Analytics:
o Run and interpret sales, club, and visitor reports to inform business decisions and performance tracking.
o Prepare monthly summaries on club growth, revenue, and guest engagement for review with the Sales Manager.

Experience with Commerce7 or similar POS/ecommerce platforms is essential for this role. Familiarity with related tools like ShipCompliant, EasyPost, and integrated email marketing platforms (e.g. Commerce7 or Klaviyo) is a strong plus.


Qualifications
o 2+ years of experience in wine hospitality, wine club management, or DTC operations
o Strong communication, organizational, and multitasking skills
o Experience managing order fulfillment and shipping logistics (wine industry preferred)
o Proficiency in Commerce7
o Familiarity with ShipCompliant or Klaviyo is a plus
o Must be 21+ and able to lift 40 lbs
o OLCC permit and valid driver’s license required
