JOB SUMMARY:
The Winery Executive Assistant plays a crucial role in providing high-level administrative and operational support to winery leadership and the CEO. This position ensures efficient administration and a positive experience for both employees and the management, the executive team, and the Board of Directors, requiring a combination of administrative, organizational, interpersonal, and industry-specific skills. This position will serve as the liaison between the company and upper management.
Key Responsibilities:
ESSENTIAL FUNCTIONS:
• Manage schedules and coordinate meetings.
• Manage technology issues for the executive team.
• Handle sensitive information confidentially.
• Prepare and proofread correspondence and documents.
• Maintain calendars and make travel arrangements.
• Maintain business lists and contact information.
• Manage corporate documents and licenses.
• Maintain physical and electronic files.
• Manage mail, shipments, distribution, and office supplies.
• Assist with other departmental needs as requested.
• Attend meetings, take minutes, and follow up on action items.
• Prepare presentations and reports.
• Coordinate communication among Chappellet family members, Board of Directors, Executive and Manager teams.
• Liaise with key customers, owners, Board of Directors, management, and employees.
QUALIFICATIONS:
• Strong administrative and clerical skills.
• Excellent organizational and time-management skills.
• Ability to manage multiple tasks and prioritize effectively.
• Strong computer proficiency, especially with Microsoft Office applications.
• Experience in executive administrative assistance preferred.
• Experience in relevant areas, such as human resources, hospitality, accounting, or IT, is beneficial.
• A proactive and self-starter attitude.
• Confidentiality and discretion are essential.
• Strong communication and interpersonal skills.
• Ability to work independently and as part of a team.
• Passion for and knowledge of wine, food, and hospitality are often valued.
