JOB SUMMARY:
The Event Coordinator at Chappellet plays a vital role in planning and executing winery events, supporting the Event Manager, the Chappellet Family, and the Direct-to-Consumer (DTC) team. This position helps ensure the smooth operation of a variety of events, including wine club gatherings, trade shows, family celebrations, and exclusive consumer experiences. The Event Coordinator maintains Chappellet’s high standards while helping create memorable and brand-consistent guest experiences.

ESSENTIAL FUNCTIONS:

Responsibilities:
•  End-to-End Event Execution: Facilitate successful events from start to finish, ensuring smooth coordination and attention to detail.
o Establish and maintain strong relationships with clients, vendors, and internal teams.
o Create and manage comprehensive Banquet Event Orders (BEOs) to streamline event planning and execution.
o Communicate event details clearly and efficiently across departments, including entering information into the Estate Calendar.
o Coordinate and host site visits for clients and vendors as needed.
o Work with clients, caterers, and event managers to plan menus and create the overall event experience.
o Assist with event setup, breakdown, and physical tasks as needed, including but not limited to floral arrangements, cleaning, organizing materials, and ensuring the event space is properly prepared.
•  On-Site Event Management: Stay on-site during the event to handle client concerns and monitor vendor performance, ensuring everything runs smoothly.
o Manage client requests (e.g., extra wine), troubleshoot equipment problems, and handle unexpected issues like weather changes.
•  Inventory and Resource Management: Track on-site inventory to reduce reliance on external rentals and maximize the use of current event supplies, sourcing additional inventory as needed to meet event requirements.
•  Rental and Vendor Coordination: Coordinate and oversee rental orders, collaborating closely with a trusted vendor network and evaluating new vendors to ensure they meet Chappellet’s high standards.
•  Budget & Financial Oversight: Establish and follow event budgets, monitor expenses, and provide detailed financial reports to the Event Manager after the event.
•  Safety & Functionality Oversight: Work with the Estate Engineer to address safety concerns and ensure all event spaces and materials are in top condition.
•  Cross-Department Collaboration: Coordinate event details with Direct-to-Consumer (DTC) staff and other affected departments to ensure smooth operations.
•  Creative Design & Collateral: Work with the Event Manager to create event materials and layouts that match Chappellet brand standards, the event theme, and client preferences.
•  Uphold Event Standards: Consistently maintain Chappellet’s high standards and style at every event.
•  Guest Service Support: Help with food and wine service, and assist Brand Ambassadors in delivering exceptional guest experiences.
•  Other duties as assigned by immediate supervisor.

QUALIFICATIONS:
•  Experience: At least 1 year of event coordination or related experience with a strong track record in hospitality or event support.
•  Professional Traits:

•  Technical Skills:
o Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
o Experience with Adobe Illustrator or other design software is a plus.
•  Physical & Logistical Requirements:
o Capable of lifting up to 50 pounds and standing for long periods
o Must be at least 18 years old and possess a valid driver’s license.
o Willing and available to work evenings, weekends, and holidays as needed.
