Job Duties
• Coordinate the activities involved in the planning and implementation of an active calendar including Hospitality and Wine Club events, Trade/VIP visits, employee trainings, and special internal and external events. Weekend work will be required
• Once fully trained - Independently conduct individual tours & tastings for Trade & VIP guests, including set and strike of tasting venues
• Coordinate event logistics with all members of the Hospitality leadership team, ensuring highest level of communication
• Maintain vendor relationships, coordinate appropriate site visits with Event Manager
• Coordinate rental orders, wine orders, accommodations, transportation, restaurants, caterers, entertainment, set/strike schedules etc., and working within allotted budget and timeline
• Oversee, maintain, and update Hospitality Calendar with all relevant details pertaining to Trade visitation and events
• Coordinate with Events Manager on planning all onsite and offsite events
• Manage billbacks, check requests, and invoices monthly, coordinate with Events Manager on costs for each event and timely allocation of services provided to the appropriate cost center, code and track all incoming invoices to the appropriate cost center
• Maintain general event and culinary supplies and inventory
• Work collaboratively with other departments in planning and execution of consumer events, including DTC and Marketing
• Ongoing outreach and marketing RSWE for private event groups and corporate events, highlighting a multi-venue facility
• Attend after-hours association, concierge, and networking meetings as RSWE representative
• Trade Management
• Manage trade and hospitality calendar
• Monitor and work to continually improve trade and event guest experience
• Monitor submission of trade group recap forms from the Tasting Room staff
• Work closely with outside sales team, including detailed correspondence and calls while coordinating all curated trade experiences
• Other duties may be assigned when needed
Minimum Requirements
Education and Experience:
• Bachelor’s degree preferred
• Two years related of Hospitality and or Events experience
Knowledge and Skills:
• Valid driver’s license
• Must be 21 years old
• Must be detail-oriented and organized
• Advanced Microsoft Office skills required
• WineDirect experience a plus
• Must possess a friendly and professional demeanor, skilled in guest service
• Exceptional active listener, excellent verbal, and written communication skills
Working Conditions:
• Must be able to lift 50lbs
• Must be able to walk, bend, and stand for long periods of time
• Ability to work indoor or outdoor spaces for long periods of time
• Works well in a team and or individual setting
