Front Desk and Departmental Support Assistant

Essential Duties and Responsibilities
Front Desk Responsibilities:
Greet and assist visitors, clients, and vendors in a professional, courteous, and welcoming manner.
Answer and appropriately route incoming phone calls to designated staff members.
Manage the receipt and distribution of incoming and outgoing mail and packages.
Maintain office supply inventory, monitor stock levels, and process orders as needed.
Provide support for filing, scanning, and organizing company documents.
Ensure the front desk, lobby, and reception areas are clean, organized, and presentable always.
IT Administrative Support:
Assist with maintaining, tracking, and updating hardware inventory records, including laptops, iPhones, iPads, and related accessories.
Provide basic troubleshooting and support for office equipment such as printers, Wi-Fi networks, and phone systems.
Collaborate with the IT Supervisor to prioritize, document, and coordinate employee service requests and scheduled maintenance activities.
Support phone service inventory management, including tracking active lines, device assignments, and coordinating service updates (training provided as needed).
Assist with setting up workstations for new employees, including login credential distribution and device configuration (training provided as needed).
Human Resources Administrative Support:
Assist with the preparation of new hire packets, onboarding documentation.
Support HR-related projects and special administrative assignments as directed.
Support field operations by assisting with the hiring process for field employees, including paperwork completion and file management.


Qualifications:
Bilingual (English/Spanish) required.
High school diploma or equivalent required; additional education in business administration, IT, or a related field is preferred.
Previous experience in an administrative, front desk, or IT support role preferred.
Strong organizational skills with exceptional attention to detail.
Ability to manage multiple priorities while maintaining a professional and courteous demeanor.
Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.

Schedule:
40 hours per week.

Work Environment:
This position is based in an office setting and requires regular in-person attendance.
