Accounting Operations Specialist

About the Role:
As an Accounting Operations Specialist, you’ll play a pivotal role in managing vendor payments while leading the modernization of our accounts payable systems. This role blends traditional AP/AR functions with process improvement and systems automation, offering the right candidate a chance to make a lasting impact on operational efficiency and scalability.

You’ll be responsible for executing day-to-day accounts payable activities, maintaining vendor records, supporting inventory reconciliation, and performing general accounting duties. A key focus of this role is spearheading the transition to an automated, paperless AP workflow, collaborating with stakeholders across departments to streamline and enhance financial operations. This is a key position with growth potential, offering the opportunity to play a vital role in the continued success of NW Wine Company.

Key Responsibilities
•  Lead the automation of accounts payable workflows, from process evaluation through implementation and training
•  Process vendor purchase orders and receipts, code vendor invoices, route for approval, and enter data into QuickBooks
•  Support payment operations: verify and validate invoices, compile supporting documentation, and coordinate payment distribution
•  Invoice wholesale customer for shipments and record AR payments
•  Create grape sales / purchase agreements and forecast grape revenue / expense for the fiscal year, prepare grape purchase / sales invoices
•  Record inventory transactions, including purchase order receipts and associated billings
•  Maintain and organize accounts payable files; assist in transitioning to a digital, paperless filing system
•  Act as liaison between departments and vendors to resolve discrepancies and billing questions
•  Prepare and post journal entries to the general ledger
•  Assist in month-end close and reconciliations
•  Collaborate with internal teams and executives to ensure compliance with accounting policies and procedures
•  Prepare and support standard and specialized financial reports in accordance with GAAP
•  Support special projects and continuous improvement efforts
•  Maintain a high level of accuracy, confidentiality, and organization in all work
•  Provide additional financial and accounting support as needed in a dynamic winegrowing and winemaking organization

Required Qualifications
•  Bachelor’s degree in Accounting, Finance, or related field
•  Proficiency with QuickBooks and Microsoft Office Suite (Excel, Outlook, Word, PowerPoint)
•  Solid understanding of accounting principles and terminology
•  Strong mathematical and data entry skills with excellent attention to detail
•  Ability to manage time effectively, prioritize tasks, and meet deadlines in a fast-paced environment
•  Strong written and verbal communication skills

Preferred Qualifications
•  Experience in a manufacturing or inventory-based accounting environment
•  Previous involvement in systems automation or AP process improvement projects
•  Familiarity with digital invoice processing tools or document management systems
