Position Overview
We are seeking an organized, proactive, and polished Hospitality Associate to support our growing wine business. This role is pivotal in ensuring smooth day-to-day operations of our office while providing support for distributor visits, team tastings, and occasional events. The ideal candidate has a professional demeanor, excellent communication skills, and a passion for the wine industry and hospitality.
Key Responsibilities
Wine-Specific Support
Oversee wine inventory for office use (tastings, samples, client gifts) and coordinate shipments as needed.
Support planning and execution of in-office tastings and distributor meetings.
Maintain tasting room presentation standards and ensure wine service readiness.
Assist sales and marketing teams with event materials, POS fulfillment, and sample coordination.
Event & Hospitality Coordination
Facilitating the setup and execution of on-site tastings between national level accounts and internationally based suppliers
Coordination of internal/external personnel priorities at a high volume
Support Vice President of Marketing as the point of contact for trade publication tasting events by managing wine logistics internally and with suppliers; overseeing event staffing assignments; completing necessary paperwork and other event needs
Help manage the VINTUS Annual New York Wine Experience Afterparty on Thursday, October 16, in planning, setup, execution, and cleanup, requiring a late night commitment that extends well past midnight
Assistance with the Brand Team in executing brand activations throughout the week, both onsite and off
Coordinate internal team events, guest visits, and seasonal celebrations.
Liaise with caterers and service providers for client lunches, industry events, and hosted tastings.
Help plan and execute local wine industry events or trade tastings on behalf of the company.
Office Operations
Serve as the first point of contact for guests, clients, and delivery personnel.
Manage daily office operations including supply ordering, mail handling, and vendor coordination.
Maintain cleanliness and organization of shared spaces such as tasting rooms, meeting areas, and kitchen.
Assist with scheduling meetings, preparing agendas, and supporting team calendars.
Administrative Support
Provide general administrative support to leadership and key departments.
Assist with onboarding logistics for new hires and culture-building activities.
Prepare reports or presentations as requested and help manage digital filing systems.
Qualifications
3+ years of office administration or hospitality experience, preferably in wine, beverage, or luxury goods.
Professional demeanor with a high attention to detail and organizational skills.
Excellent written and verbal communication.
Proficient in Microsoft Office and Google Workspace; experience with winery CRM or inventory systems is a plus.
Ability to handle sensitive information with discretion.
Knowledge of or interest in wine is highly desirable; WSET certification a plus
Work Environment
The position is primarily onsite, Monday–Friday.
Occasional evening or weekend event support may be required.
Must be able to lift and move wine cases (up to ~40 lbs) periodically.
