Job Summary
We are seeking a dynamic and customer-focused Wine Club and Events Manager to oversee and grow our wine club and events programs. This role is responsible for delivering an exceptional member experience, increasing member retention and acquisition, and managing all aspects of wine club operations — from logistics to communication and events. The ideal candidate is a polished hospitality professional who can balance creativity with attention to detail, is passionate about wine, excels at customer engagement, and brings a strategic mindset to membership growth, brand loyalty, and events.
Key Responsibilities
o Membership Growth & Retention
o Develop and execute creative strategies to increase wine club memberships, enhance member engagement, maximize retention, and reduce churn.
o Analyze member trends and preferences to inform retention initiatives.
o Adapt strategies to drive growth, optimize club structure, and achieve annual financial targets.
o Create and manage promotional campaigns and referral programs.
o Work closely with the tasting room team to promote the club and offerings.
Customer Experience & Communication
o Serve as the primary point of contact for all wine club members and deliver exceptional, friendly customer service.
o Handle inquiries, concerns, and feedback promptly with professionalism and warmth.
o Make genuine connections with members and key buyers to retain/increase lifetime value.
o Work in the tasting room one day each weekend to engage directly with members and the tasting room team to sell wine, facilitate pickups, and address member questions.
Wine Club Operations
o Oversee the entire logistics life cycle of wine club shipments (forecasting, inventory, collateral material creation, packaging, fulfillment, shipping, credit card decline follow up and corrective actions).
o Collaborate with winemaking and production teams to plan wine selections for each shipment.
o Maintain accurate membership records in the POS system.
Marketing, Events & Engagement
o Coordinate all wine club communications that align with company branding and maintain a regular cadence of outreach via emails, texts, social media, and personal outreach.
o Plan and execute exclusive wine club events such as pickup parties, tastings, and member-only experiences.
o Plan and execute special events that promote the brand and engage guests at all levels of the customer funnel.
o Collaborate with the tasting room manager and team to create memorable in-person experiences that promote the brand and wine club.
o Assist with VIP tours, tastings, and hospitality as needed.
Data Management, Reporting & Analysis
o Manage databases to ensure complete, detailed, and accurate customer profiles (credit card updates, new addresses, notes, tags, etc.)
o Track data to identify sales and retention opportunities.
o Make informed decisions that optimize our offerings, promotions, events, and acquisitions by leveraging data insights.
o Track KPIs including sign-ups, cancellations, revenue, and customer satisfaction.
o Prepare regular reports for senior leadership.
o Utilize AI as appropriate to streamline workflow.
Qualifications
• 1+ years proven experience in wine club planning, processing, and database management
• Experience with event management, customer service, and hospitality
• Strong proficiency in software platforms such as point-of-sale (Order Port preferred), MS Office applications (Word and Excel), email marketing (MailChimp preferred), and text messaging (Red Chirp preferred).
• Proficiency in Adobe graphic design programs such as InDesign, Photoshop, and Illustrator.
• Friendly, welcoming communication style
• Stellar customer relationship management and sales skills
• Collaborative, creative, and team-oriented mindset
• Proven organizational, time management, and multi-tasking skills
• Current California RBS certification or the ability to secure within 60 days of hire
Preferred Qualifications
• Familiarity with digital marketing strategies and best practices
• Excellent wine knowledge (WSET certification and familiarity with Italian and Spanish varietals are a plus)
• Familiarity with ShipCompliant
• College degree in business, hospitality, marketing, or related field
Physical Requirements
• Must be able to stand and/or walk for extended periods of time
• Lift and carry up to 10 pounds frequently, and up to 50 pounds occasionally
• Work at a computer for extended periods of time
• Must be available weekends, evenings, and holidays as needed
Compensation and Benefits
• $55,000-$70,000 depending on experience
