Margerum Wine Company is seeking a highly organized and proactive Sales Administrative Coordinator to support our General Manager with a range of wholesale sales tasks and administrative responsibilities. This role is vital to the smooth operation of our sales and distribution efforts and requires exceptional attention to detail, time management, and communication skills.
Key Responsibilities
Wholesale Sales Support
Assist the GM with day-to-day wholesale operations including order entry, account tracking, and distributor communications.
Process and manage purchase orders from distributors and trade accounts.
Prepare and maintain wholesale price lists, allocations, and product availability reports.
Coordinate with the production and fulfillment teams to ensure timely and accurate order processing and shipping.
Support distributor outreach and sales campaigns with accurate sales materials and updates.
Administrative Duties
Maintain and update sales databases, customer contact lists, and account records in CRM and POS systems.
Schedule and coordinate sales meetings, tastings, and distributor visits.
Assist in tracking key performance metrics, sales targets, and market trends for GM review.
Generate sales reports and summaries as requested.
Support compliance tracking including licensing, tax documentation, and ABC regulations.
Inventory Coordination
Monitor inventory levels and work closely with warehouse/logistics teams to ensure product availability for wholesale orders.
Assist in reconciling physical inventory counts with sales and shipping data.
Alert the GM and team of any inventory discrepancies or low-stock issues.
Qualifications
2+ years of administrative or sales support experience; wine industry experience preferred.
Proficiency in Microsoft Office Suite, Google Workspace, and familiarity with CRM systems (e.g., Commerce7, Pipedrive).
Strong organizational and multitasking skills.
Clear, professional communication skills—both written and verbal.
Ability to work independently and collaboratively in a fast-paced environment.
Understanding of or passion for the wine industry a plus.
Working Conditions:
Office-based with occasional offsite events.
May require occasional evening or weekend support for events or key sales deadlines.
