Summary:
The Office Coordinator provides high-level administrative support to the Winetech department. They serve as the primary communication conduit between the manager and its customers and suppliers. These responsibilities involve receiving, responding to, and processing communications and inquiries from customers and suppliers, and potential customers and suppliers, as well as assisting in scheduling customer projects, material deliveries, promoting and establishing new accounts, and following up on potential equipment sales and purchases, and wine procurement. In addition, the Office Coordinator will maintain schedules, maintain files, and otherwise assist management personnel as directed.

Classification: Full-time, Non-Exempt
Compensation: $24 - $26
Location: 100% On Site at Napa, CA headquarters
You Will:
Receive and respond to Customer and Supplier communications, whether by telephone, email or other form in a prompt, professional and friendly manner.
Acquire information from Customers and Suppliers as necessary to arrange and provide services; including arranging for delivery and receiving of items.
Assist Service Managers in scheduling personnel and equipment.
Produce driving directions and maps for field personnel.
Follow up with Customers and Suppliers to ensure satisfaction.
Receive and respond to inquiries by potential Customers and Suppliers in a prompt, professional and friendly manner. Coordinate incoming requests for services by collecting information regarding needs, location, and contact information. Follow up to ensure that Customer and Suppliers inquiries are answered completely and in a timely manner.
Solicit equipment and services sales; generate quotes, and follow-up with inquiries.
Provide day to day administrative support to Winemaker/President and Winetech Management.
Coordinate with marketing department to ensure adequate support for Company’s sales efforts.
Maintain Customer and Supplier contacts and files.
Open, sort, and distribute incoming correspondence, including faxes and email.
Provides historical reference by developing and utilizing filing and retrieval systems.
Contributes to team effort by accomplishing related results as needed.
You Have:
High school graduation or GED required.
Wine industry experience preferred.
Valid CA license and clean driving record required.
3+ years’ experience in an administrative capacity.
Computer literacy and familiarity with MS Word, Outlook, and Excel.
Exceptional communication skills, both written and verbal.
Professionalism and a positive and outgoing demeanor.
Capable of preserving confidential or sensitive information.
Effective time management, organization and multi-tasking skills.
