Position Summary
The Assistant Tasting Room & Special Events Manager is a hybrid leadership role focused on the daily operations of the tasting room and the coordination of events. This role ensures excellent guest service, supports team training, executes operational duties, and manages events -- typically up to 50 guests. The position works cross-functionally with hospitality, culinary, wine club, and marketing teams to ensure seamless guest experiences and performance toward financial goals.
Tasting Room Operations (~70%)
• Lead daily tasting room operations, ensuring high-touch guest service and adherence to hospitality standards.
• Create and manage the monthly schedule and ensure appropriate floor coverage for all tasting experiences.
• Conduct pre-shift huddles, wine education, and service training to develop team capabilities.
• Support the Retail & Hospitality Manager in delivering against wine sales and wine club KPIs.
• Organize and conduct monthly physical inventory and report counts to Retail & Hospitality manager. Conduct recounts and inventory investigations as required.
• Keep products and other POS settings up to date in CRM system (e.g., Commerce7).
• Ensure SOP compliance related to shipping, ID checks, order accuracy, and guest data collection.
• Address and escalate guest concerns or unusual situations appropriately.
• Coordinate across departments (wine club, culinary, and operations) to align on guest visits, deliveries, and service timing.
Special Events (~30%)
• Respond to and qualify inbound event inquiries and conduct client vetting for fit and permit compliance.
• Plan and execute wine club, private, corporate, and trade events with attention to detail and brand consistency.
• Ensure all Kobrand trade guest requests are prioritized appropriately and executed flawlessly.
• Manage run-of-show documents, rental orders, setup logistics, and day-of coordination.
• Collaborate with the Executive Chef, Wine Club Manager, and Retail & Hospitality Manager on event execution.
• Assist with event-related revenue tracking, profitability analysis, and post-event performance reporting.
• Assist with nurturing relationships with local DMCs, concierge services, and hospitality partners to increase group sales.
Qualifications
• 3–5 years winery hospitality or luxury service experience with team leadership responsibilities.
• Experience in event planning, logistics, and guest service excellence.
• Strong communication and coordination skills across departments.
• Understanding of wine sales strategies and guest engagement best practices.
• Familiarity with Commerce7 and Microsoft Office tools (Excel, Word, Outlook).
• Ability to lift 50 lbs and remain standing for long periods.
• Wine knowledge required. WSET, CSW, or other wine certifications preferred.
• Must be able to work weekends, some holidays and occasional off-site travel and evening events.
• Must be over 21 years of age and have a valid driver's license.
