Diamond Creek Vineyards has defined terroir-driven single vineyard Cabernets in the Napa Valley. Founded in 1968, Diamond Creek is considered California’s first exclusively Cabernet Sauvignon Estate Vineyard. Visionary pioneer Al Brounstein assisted by his wife Boots defied modern conventions and planted Bordeaux varietals on secluded Diamond Mountain. Now under the ownership of Maison Louis Roederer in France, it has a global reputation for estate wines from Diamond Mountain honored and cherished by collectors.
This position is part of the customer service team, primarily responsible for processing Wholesale Domestic and Export orders, as well as managing Inventory and ensuring Compliance. The role requires strong attention to detail, excellent customer service skills, and a strong focus on customer follow-up. Compliance and Inventory Control responsibilities include supporting taxation reporting functions and inventory control management at both Diamond Creek Vineyards and Merry Edwards Winery.
This position will report four days per week to Diamond Creek Vineyards in Calistoga and one day per week to Merry Edwards Winery in Sebastopol.
Reporting to the Director of Accounting and the Wineries President, this role is an integral part of a dynamic accounting team supporting a growing and evolving organization. The ideal candidate will embrace and assist in the implementation of new technologies to help build an efficient and scalable accounting and financial reporting operation.
ESSENTIAL DUTIES AND RESPONSIBILITIES: (Other duties may be assigned.)
Sales Administration (DCV/MEW)
• Execute Wholesale orders – both domestic and export for Diamond Creek Vineyards – in a timely fashion
• Work cross functionally with finance, sales and production to ensure accuracy of vintages, formats, quantities and pricing
• Manage special labels/packaging and complex paperwork for specific domestic and export markets (DCV/MEW)
• Collect shipment and depletions as well as key sales data from various export markets distributors
• Work directly with Wineries President to communicate domestic and export markets information to include, but not limited to:
• Allocations, pricing, vintage change and release schedule
• Fulfillment status and Customs requirements
• Coordinate with warehouse and freight forwarders to ensure timely pickup of all orders
• Manage allocations throughout selling year, track and report on results as needed for management and for staff, including sales performance and other key metrics. Deliver monthly and ad hoc analyses of business results to President
• Maintain distributor listings, territories, brands and wholesale licenses in ShipCompliant, Dynamics and Contact lists, as appropriate
• Manage and file state wholesale reports
• Maintain physical and digital files for labels, COLAs and state level reporting
• Provide support back up for DTC during peak selling times
Compliance Coordination and Reporting (All Roederer Collection Brands):
• Responsible for the timely monthly and quarterly out of state excise and sales tax fillings for both wholesale and retail (Direct to Consumer) using Sovos.
• Run data files and reports from multiple sources; consolidate and summarize data; isolate anomalies and reconcile balances; interpret transactional data for input to financial systems.
• Responsible for accurate record keeping of all excise and sales tax payment activity in the ERP system.
• Responsible for the integration of software packages for regulatory compliance when needed.
• Responsible for preparing various federal, state, and local tax reports.
• Responsible for preparing necessary documentation for compliance includes: working with governmental agencies, TTB, winemaking, order entry administration and distributors.
• Responsible for wine label compliance requirements and COLA registrations.
• Follow up on notices from reporting agencies and rectifying any compliance issues.
• Maintain state compliance records and help/advise/assist Company maintain parallel records at the winery.
Inventory Control (MEW/DCV):
• Manage Production Inventory Reports for Still Wine; Update post physical inventory and meet with stakeholders to determine slow moving goods/bottling requirements
• Run data files and reports from multiple sources; consolidate and summarize data; isolate anomalies and reconcile balances; interpret transactional data for input to financial systems
• Maintain accuracy of inventory quantities in multiple warehouse locations of both wineries.
• Responsible for inventory management, tracking of case goods, reconciling, perform variance analysis and prepare supporting adjustments
• Coordinate monthly inventory cycle counts and quarterly physical inventories and provide data to accounting for adjusting general ledger balance as appropriate
QUALIFICATION & EXPERIENCE REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
• Excellent organizational skills and attention to detail
• Strong Excel skills
• Experience with Sovos/Shipcompliant is preferred
• Intermediate Inventory management, data manipulation and analytics skills
• Strong verbal and written skills
• Computer proficiency in Microsoft Office
• Familiarity with ERP systems, Microsoft Dynamics a plus
