The Winery Operations Coordinator position is a cross-departmental role, reporting directly to the Winemaker. Key responsibilities within this role are to liaise between winery departments, vendors, and the Groupe, with focus placed on packaging procurement, CSR initiatives, and Ponzi’s operational needs. Skills required for this position are, but not limited to:

Essential Job Functions:
Packaging Procurement
Facilitate, manage, and maintain all Ponzi-Vendor accounts:
•  Communication with current and prospective vendors on a routine basis.
•  Receive or visit vendors when necessary.
•  Attend press checks with Marketing representative when needed.
•  Explore new vendor options, their products, pricing, sustainability efforts, etc.
•  Review existing pricing and exploring alternative, cheaper options, so long as it aligns with our CSR initiatives set forth by Ponzi Vineyards and Groupe Bollinger.
•  Hold Ponzi and vendors accountable to existing contracts.
•  Work with team to negotiate new contracts as well as contract revision(s) if/when needed.
•  Work with Groupe Bollinger’s Procurement Officer to better/enhance Groupe purchasing power.
Stay current and relevant on all aspects of packaging:
•  New product(s).
•  General/existing product availability.
•  Increase/decrease in packaging/packaging material cost due to economic climate and how that impacts budget, sourcing and lead times, Ponzi production schedule, etc.
•  Sustainability e.g. bottle weights, % cullet used, % recycled corrugation material, shipping/transportation, etc. and how it aligns with Ponzi/Groupe Bollinger goals and initiatives.
•  Incorporation of new product trials if wine program deems it necessary.
•  Attend all relevant industry packaging/seminars/trade shows/etc.
Responsible for all packaging/dry goods/case goods:
•  Ordering and scheduling in alignment with art changes, vendor lead times, production/bottling schedule.
•  Work with Cellar Master on transportation logistics for the arrival of goods.
•  Work with Cellar Master and Project Specialist to keep accurate and up to date records of inventory.
•  Responsible for all elements of dry good inventory in InnoVint
•  Maintaining records of existing inventory.
•  Maintaining ordered/incoming goods.
•  Packaging coding.
•  Packaging costing.
•  Inventory adjustments and/or depletions.
•  Inventory descriptions and specifications.
•  End of month inventory counts.
•  End of month reconciliations.
•  Keeping accurate records of all SOs, Invoices, and BOLs as they relate to packaging.
Responsible for knowing all elements of Ponzi packaging, their respective specifications, and origin(s)
•  Glass molds
•  Capsules
•  Stelvin & non-Stelvin closures
•  Cork & non-Cork closures
•  Boxes
•  Inserts
•  Labels
•  Screen Printing
Liaise between Production and Marketing
•  Establishing packaging timelines based off bottling and release dates.
•  Maintenance & management of Packaging Asana board.
•  Ensuring Production/Marketing file is updated and accurate.
•  Reviewing artwork post-design stage to ensure TTB compliance/accuracy.
•  Submitting & seeing through COLA label registration with compliance specialist.
•  COLA & label file upkeep on Intranet.
•  Export compliance with shipments and labeling requirements.
CSR (Corporate Social Responsibility)
•  Leader of inter-department monthly meetings with focus placed on the three pillars:
- Environment
- Internal Social
- Community
•  Accurately measure and report on CSR KPIs, as defined by the Group
•  Research, develop, and implement new ideas for improvement relating to operations as they apply to CSR.
•  Point person for Groupe Bollinger CSR communications and tracking initiatives.
•  Assist with/lead B-Corp certification project.
•  Assist with/lead CapEx projects as they relate to CSR.
Environment
•  Gather information across winery departments for traceability purposes to apply carbon footprint measurements.??
•  Energy usages e.g. electrical, natural gas, propane, etc.
•  Water usage.?
•  Packaging usage.??
•  Material usage e.g. winery, lab, facility, and bottling.?
•  Track International and local travel.??
•  Shipment tracking – DTC and national distribution, materials shipping, etc.
•  Work to improve and advance tracking and information gathering for implementation in the future.??
•  Participate in industry technical committee meetings for LIVE and/or other sustainability organizations and educational training opportunities.??
•  Provide quarterly updates on how we are tracking our carbon footprint from year to year, quarter to quarter, for Ponzi Vineyards and the Groupe.
•  Any/all certification applications, revisions/updates, submissions.
Ponzi Operations
•  Responsible for bulk and case good inventory and transportation logistics between Ponzi and vendor(s).
•  Safety and Crisis Prevention officer.
•  Manage OSHA and Health & Safety compliance.
•  Responsible for scheduling property and/or equipment upkeep, repairs, and maintenance if/when needed.
•  Operational equipment oversight:
- HVAC
- Generators
- Alarm system.
- Fire system.
- Pumps
- Winery equipment
- Harvest rentals
•  Ponzi operation’s manual oversight and upkeep.
•  Scheduling of bottling line and labor needs
•  Scheduling of yearly harvest equipment rentals
•  Assistance during harvest on an as needed basis
Requirements and Experience:
•  3+ years in winery operations experience.
•  Proficient in MS Office Suite and InnoVint.
•  Exceptional written and oral communication skills.
•  Must be 21 years of age or older.
•  Must be able to stand for 8 hours as well as lift and carry up to 50 lbs.
•  Ability to work Monday to Friday
