Job Description:

Beaux Frères Vineyard and Winery, located on an 88-acre farm atop Ribbon Ridge AVA on the north side of Newberg, Oregon, began in 1988 with the planting of its first 5 acres of vines. Today, a mixed forest of Douglas fir and native oak trees still cover nearly 50 acres of the farm, with homestead and winery buildings occupying another 8 acres. Our team is small and tightly knit, and our company culture values balance, integrity, and positivity, in addition to quality and productivity.

We are looking for someone to help ensure excellence in customer facing experiences and behind-the-scenes service for a large and diverse group of highly valued winery club members.

Customer Facing Roles and Responsibilities:
1) Communicating with members via email, phone, and in-person:
The ideal candidate is professional but not pretentious, capable of speaking with authority on the subject or wine, and will act as a trusted advisor to members seeking advice on high-value purchases. Must be responsive and timely, a proactive problem solver who sees tasks through to completion, an organized multitasker and rapport builder who takes a genuine interest in members’ lives and satisfaction with our product and should be extroverted enough to generally enjoy social interaction.

2) Hospitality/hosting visits/events:
Must be available to cater to members during their visits to Beaux Freres to make the experience as customized and memorable as possible. Concierge services also include organizing visits to other wineries and offering referrals to members at the time of booking in regard to lodging, dining, and winery visits. The ideal candidate will stay aware of what is new in the valley and keep a Willamette Valley Resource guide up to date. Will also help coordinate member-related events, including but not limited to Spring and Fall Pick up Parties and the Club Dinner in the Vineyard

3) Proactive sales outreach:
Periodically contact members regarding special release or featured library wines based on their drinking preferences or purchase history. Make members aware of any Beaux Freres related events in their area. Arrange in-home tastings around work travel. Plan outreach when member activity has stalled and help devise other creative solutions to boost sales or membership stagnation.

Behind the Scenes Service:
1) Twice yearly allocation processing:
Must learn to build and process club shipments for all membership levels in Spring and Fall within our sales system (Commerce7). Involves tracking and controlling inventory, transferring inventory between warehouses when necessary, assigning ship dates based on region, and keeping archived files of club runs for accurate records. Develop content for print and digital media to include in club shipments, keep club related tasting room material up to date, as well as any pertinent club information on the website.

2) Organization and record keeping:
Organize notes in customer accounts regarding personal details and wine preferences based on purchasing habits. Send follow up cards or emails post visits, and birthday or holiday cards to members annually. Note shipping preferences, ship date requests and keep track of multiple shipping addresses, when applicable.

3) Shipping and logistics:
Have a basic knowledge of how to answer member’s shipping questions. Communicate and reserve bulk ship dates with our bicoastal warehouses at the beginning of the year. Know how to transmit orders from Ship Complaint to Wine Direct and how to recruit their team to assist with members’ shipping issues (redirects, recalls, postponements) to make the post-order delivery process as smooth and efficient as possible.
