Job Description: Wine Club Coordinator, FT Hourly Position, Weekend availability
Job Summary:
Anaba Winery is looking for a smart, charismatic individual to be the friendly face of our Wine Club and support our amazing members! The Wine Club Coordinator (WCC) oversees the operations, growth, and member satisfaction for Anaba Winery’s wine club. This role focuses on increasing membership retention, enhancing customer engagement, and ensuring a seamless experience for wine club members. The WCC reports to the Estate Director and collaborates with the Tasting Room Manager and Marketing Manager to enhance revenue growth and brand loyalty.
The ideal candidate will balance a workweek between the Wine Club and shipping related tasks and assisting in the Tasting Room, acting as our ambassador for the Wine Club. We love having our WCC being present in the tasting room because it creates a great bond not only between them and our members, but also our WCC and our Tasting Room team!
Once the ideal candidate has demonstrated success within the wine club and shipping tasks, opportunities for growth into management of the Wine Club and other DTC channels - such as e-commerce and tele sales - are available and encouraged!
Key Responsibilities:
Wine Club:
• Develop and execute strategies to grow and retain wine club memberships through targeted promotions, referrals, and personalized experiences.
• Coordinate wine club fulfillment and shipments, ensuring timely and accurate delivery.
• Enhance the member experience by providing exceptional customer service and personalized communication.
• Analyze membership data to improve retention, engagement, and customer lifetime value.
• Plan and execute exclusive wine club events and experiences to strengthen member loyalty.
Shipping and Fulfillment:
• Ensure all in-house shipping is completed promptly.
• Work directly with warehouse (CopperPeak) for shipping related matters
• Monitor inventory levels and refresh as necessary.
• Review available “cold ship” options and establish summer shipping programs.
• Setup new SKUs with CopperPeak (warehouse) and ShipCompliant when needed
• Approve all Shipping related expenses
• Place weekly wine orders for Tasting Room, and ensure all inventory transactions are recorded correctly in a timely manner.
Marketing & Customer Engagement:
• Collaborate with the marketing and tasting room team to create compelling campaigns for wine club members.
• Leverage CRM tools and customer data to personalize outreach and offers.
• Develop loyalty programs and exclusive promotions to retain high-value customers.
Performance Tracking & Reporting:
• Analyze key performance indicators (KPIs) related to wine club growth, retention rates, online sales, and customer satisfaction.
• Prepare regular reports on sales performance, marketing effectiveness, and customer engagement.
• Identify areas for improvement and recommend innovative strategies to optimize revenue streams.
Other:
• Inventory Management
• Ensure all marketing materials for Wine Club are up-to-date, accurate, and produced in a timely manner working closely with the Marketing Director.
Qualifications:
• CRM management (preferably Commerce7) required
• Proficient in MS Office or Google Suite with an emphasis in Excel or Google Sheets
• Proficient in wine club CRM and Mailchimp
• Excellent verbal and written communication skills
• Excellent customer service skills and abilities
• High level of memory retention and strong attention to detail
• Strong problem-solving skills
• Knowledge of shipping and inventory management
