Saint Helena, CA

Job Description:

POSITION SUMMARY

V. Sattui Winery is seeking a hands-on, organized, and hospitality-driven Banquet Captain to support weddings, private events, and winery-hosted events at our St. Helena property.

This position is approximately 70% onsite event operations and 30% administrative/event support. The Banquet Captain plays a key leadership role in preparing event spaces, directing onsite staff, coordinating vendors, overseeing event flow and wine service, managing closing procedures, and completing post-event administrative responsibilities.

This highly active, guest-facing role is ideal for someone who thrives in the energy of events, takes pride in exceptional hospitality, and is comfortable balancing hands-on work, team leadership, and detailed administration.

The Banquet Captain reports to the Director of Weddings & Events and also takes operational direction from the Wedding & Operations Manager.

KEY RESPONSIBILITIES

Wedding & Event Operations

Serve as the primary V. Sattui onsite operations representative for assigned weddings and events.
Lead and direct event staff, ensuring assignments, timelines, service standards, and event transitions are executed as planned.
Conduct pre-event staff briefings to review the Run of Show, assignments, logistics, and service expectations.
Oversee and participate in setup and breakdown of winery-owned tables, chairs, furniture, and event equipment.
Ensure event spaces are prepared according to approved floor plans, BEOs, timelines, and V. Sattui standards.
Coordinate vendor arrivals and serve as an onsite liaison between planners, caterers, vendors, and winery teams.
Monitor event timing, guest experience, property presentation, wine service, vendor activity, and transitions throughout the event.
Assist with wine service as needed.
Troubleshoot operational needs while maintaining a calm, professional, hospitality-focused presence.
Lead V. Sattui's event breakdown responsibilities and ensure spaces and equipment are properly reset.
Serve as Closing Manager for assigned events, including securing and locking the winery.
Communicate event-day updates, challenges, and post-event feedback to Weddings & Events leadership.

Event Administration & Support

Own and facilitate internal BEO meetings and assist with BEOs, Runs of Show, floor plans, timelines, and supporting event materials.
Review upcoming events for operational needs, missing information, and potential challenges.
Complete event-related data entry, post-event documentation, recaps, security deposit requests, and wine shipping as applicable.
Assist with wedding wine tastings and site visits.
Maintain organized event inventory and storage areas and identify damaged, missing, or replacement items.
Monitor event spaces for housekeeping, maintenance, and property-readiness needs.
Assist with approximately six V. Sattui-hosted/member events annually, including setup, execution, transitions, and breakdown.

SCHEDULE & AVAILABILITY

Significant evening and weekend availability is required. Primary wedding season runs approximately April through October, with approximately 60–80 weekend event days. Candidates must be available Fridays, Saturdays, Sundays, evenings, and select holidays based on the event calendar.

Event shifts may extend late into the evening and exceed eight hours, particularly on wedding days requiring setup, execution, breakdown, and closing. Administrative hours are scheduled around the event calendar.

QUALIFICATIONS

3+ years previous experience in weddings, events, hospitality, catering, banquets, restaurants, wineries, or a related field.
Strong organizational, time-management, and communication skills with exceptional attention to detail.
Confidence leading event staff and working with clients, planners, vendors, and internal teams.
Ability to read and execute BEOs, floor plans, timelines, and Runs of Show.
Ability to manage multiple priorities and make sound decisions in a fast-paced environment.
Proactive, solutions-oriented approach with strong hospitality instincts.
Ability to work independently, take ownership, and confidently lead onsite execution.
Comfort with administrative systems and computer-based tasks.
Wine and/or winery experience is a plus.

PHYSICAL REQUIREMENTS

This is a hands-on event operations position. Candidates must be able to stand and walk for extended periods; regularly move, set up, and break down event furniture and equipment; lift and carry items up to 50 pounds; work indoors and outdoors in varying temperatures and weather conditions; and work extended event shifts.

WHAT SUCCESS LOOKS LIKE

A successful Banquet Captain can review a BEO and Run of Show, understand how an event should come together, and confidently lead the onsite team in bringing that plan to life. They take ownership, anticipate needs, solve problems calmly, and ensure each event is executed with professionalism, attention to detail, and genuine hospitality.
