Associate, Sales & Marketing Systems

Visit Napa Valley is seeking a Sales & Marketing Systems Associate to support the organization’s integrated sales and marketing efforts through project coordination, CRM administration, reporting, partner communications, and event logistics.
This role requires strong technical aptitude with database platforms and advanced computer proficiency. The ideal candidate is highly organized, detail-oriented, and serves as a key connector across departments, helping drive group and leisure sales and marketing initiatives through systems management, partner engagement, and operational support. The position reports directly to the VP of Sales & Marketing and works closely with the Director of Sales and Associate Director of Marketing on project management and cross-functional initiatives. This is a fully onsite position based in Downtown Napa, with an in-office presence required five days per week. Candidates must reside within a reasonable commuting distance to be considered.
What You’ll Do:
Sales & Business Development (40%)
•  Manage in-bound sales leads and RFP distribution in a timely manner.
•  Coordinate client site visits, familiarization trips, and hosted experiences.
•  Maintain accurate lead, referral, and activity records in Simpleview CRM, including post tradeshow uploads.
•  Support travel advisor, meeting planner, and partner communications.
•  Coordinate promotional gifting and collateral logistics.
Events & Trade Shows (10%)
•  Coordinate logistics for trade shows, sales missions, and partner events, including venue sourcing.
•  Manage registration, deadlines, billing, shipping, materials, and follow-up.
•  Support on-site event execution as needed.
Marketing & Communications (50%)
•  Track and report performance across channels in Simpleview CRM.
•  Organize and maintain the Digital Asset Management system photo and video library.
•  Maintain the Visit Napa Valley website event calendar.
•  Coordinate media FAM itineraries.
•  Coordinate promotional gifting and collateral logistics.
•  Assist with campaign recaps, presentations, and internal reporting.
What We’re Looking For (Skills & Qualifications)
•  3+ years of experience in sales support, marketing coordination, hospitality, tourism, or related field.
•  Experience with CRM systems (Simpleview preferred).
•  Strong organizational skills with excellent attention to detail.
•  Excellent written, verbal, and interpersonal communication skills.
•  Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
•  Ability to manage multiple priorities and deadlines in a fast-paced environment.
•  Self-starter with proven ability to work independently, take initiative, and drive projects to completion.
•  Team player with collaborative, positive attitude.
•  Familiarity with Napa Valley, hospitality, or luxury brands preferred.
