Human Resources Manager

JOB TITLE: Human Resources Manager
Responsible for achieving volume growth objectives and key performance indicators on the Quintessential Wines portfolio of brands. Implement pricing and programming initiatives while managing customers in a manner that will achieve profitable long-term growth.

DUTIES & RESPONSIBILITIES:

Critical Tasks – HR Support (60%):


•  Manage the staffing process, including recruiting, interviewing, hiring and onboarding.
•  Ensure job descriptions are up to date and compliant with all local, state and federal regulations.
•  Develop training materials and performance management programs to help ensure employees understand their job responsibilities.
•  Build tools for appropriate employee training.
•  Investigate employee issues and conflicts and bring them to a resolution.
•  Ensure the organization’s compliance with local, state and federal regulations.
•  Use performance management tools to provide guidance and feedback to the team.
•  Ensure all company HR policies are applied consistently.
•  Update/rewrite/maintain employee policies and handbook.
•  Maintain company organization charts and employee directory.
•  Maintain anti-harassment and data privacy training protocols. Reoccurring as legally required.
•  Maintain HR systems and processes.
•  Develop and maintain key relationships with all employees.
•  Must be Computer literate (Excel, Word, Power point)
o Track and manage employee annual performance reviews
o Track and maintain Vacation Liability balance and Time off Calendar
•  Educate managers on appropriate training techniques.
•  Must be organized and efficiently plan and utilize your business resources.
•  Investigate and report any anti-harassment filings; Interview, investigate, resolve, etc.
•  Manage and systematically implement all annual benefits open enrollment tasks.
•  Coordinate with IT services provider on employee office property.
•  Maintain compensation strategy for all employees based on market research and pay surveys.
•  Partner with management to ensure strategic HR goals are aligned with business initiatives.
•  Analyze trends in compensation and benefits; maintain compensation plans.
•  Design, propose and implement employee retention strategies
•  Manage workers compensation coverage with current provider.


Critical Tasks – Payroll Management (40%):

•  Ensure that payroll processes in a timely manner, semi-monthly.
•  Maintain Payroll systems and processes.
•  Maintain insurance plans for employees.
•  Prepare reports for monthly, quarterly, annual payroll cost analysis.
•  Monitor/track promotions, transfers, terminations.
•  Onboard employees in all systems, or delegate onboarding. Inclusive but not limited to Paycom and HRIS, health benefits online, 401k online, POS systems, wine allowance, new computer set up requests, business cards, territory maps and directories, etc.
•  Manage Motus costs and distribution. Onboard new employees.
•  Maintain employee compensation tracking file. Annual Bonus’, current pay, etc.
•  Manage year-end payroll processing tasks:
o Paycom benefit rollover and 401k rollover
o Vacation and Sick accrual rollover
o FSA/HSA year end balances
o Paycom annual holiday calendar
o W2 quarterly validations and distribution
o Motus taxable income processing
o Hourly employee holiday pay calendar
o 401k year end census and reporting
o Workers compensation census and reporting
•  Create and implement annual payroll calendar for employees and finance payment dates.
•  Manage EE HSA contributions to outside vendor.
•  Manage employee expense reimbursement module. Review/approve, identify issues for Senior management.
•  401k management of outside vendor. Process enrollment, changes and funding.
•  Set up company as new employer in new states as needed. For UI and Labor tax reporting/filing. Facilitate TPA status for Payroll vendor.


Minimum Qualifications
•  Bachelor’s degree or an equivalent combination of education and experience.
•  Five years of industry-related experience within Human Resources and Payroll processing roles.
•  Valid state motor vehicle operator’s license and ability to obtain and maintain auto liability insurance by state laws.
•  Paycom software experience desired.
•  Accounting and journal entry experience desired.
•  Proactive problem solver.
