Turnbull Wine Cellars is seeking a highly organized, detail-oriented Sales Administrator to support DTC sales operations, customer service, Wine Club execution, and Tasting Room administration. This role is critical to ensure smooth day-to-day operations, clear communication across teams, and a high-touch customer experience — particularly during peak sales, wine club, and holiday gifting periods.

This position is an execution-focused, administrative role and does not carry direct people-management or disciplinary responsibility. The ideal candidate thrives in structured environments, excels at follow-through, and takes pride in getting complex administrative and customer-facing work done accurately and efficiently.

Role Breakdown & Key Responsibilities
1. Tasting Room & Hospitality Operations — ~60%
•  Create and manage the Tasting Room staff schedule, including time-off requests and coverage gaps in coordination with the Tasting Room Sales & Floor Manager
•  Answer phones and manage the Concierge inbox, responding to customers promptly in a warm, on-brand manner
•  Schedule and manage tasting appointments in a detailed and intelligible manner using Tock
•  Order and track Tasting Room supplies, merch, printed materials, and collateral
•  Update, print, and assemble menus and other guest-facing materials
•  Support onboarding logistics for new Tasting Room staff (administrative support only)
•  Aid in overseeing the visual appearance of all guest spaces, ensuring appropriate and on-brand visual standards
•  Serve as a key communication bridge between front-of-house, back-of-house, and DTC leadership
•  Provide administrative support to the Tasting Room Sales & Floor Manager and DTC team

2. Customer Service & Wine Club Support — ~25%
•  Assist with Membership inbox management
•  Support Member communications related to:
- Wine club shipments
- Declined credit cards
- Special shipping requests
- Updating customer information and orders
- Reservation requests
•  Field customer phone calls and emails in a warm, professional, on-brand manner
•  Assist during wine club processing periods, including:
- Order updates and corrections
- Payment follow-up
- Member communication support
•  Serve as a high-touch customer service resource during peak Wine Club seasons

3. Sales Operations & Seasonal Support — ~15%
•  Provide administrative support for DTC sales operations, including:
- POS support
- Order entry and processing
- Coordination with fulfillment and shipping
•  Support corporate gifting initiatives, particularly during OND, including:
- Order processing
- Client communication
- Shipping coordination
- Assisting with packing and fulfillment as needed

Note: Percentages may flex seasonally, with increased focus on Wine Club support and corporate gifting during peak periods.

Required Skills & Qualifications
•  Exceptional organizational and administrative skills with strong attention to detail
•  Excellent written and verbal communication skills
•  Strong customer service instincts and professionalism
•  Ability to manage multiple priorities in a fast-paced, changing environment
•  Comfortable working cross-functionally with DTC, Hospitality, Fulfillment, and Marketing teams
•  Self-motivated, dependable, and execution-oriented
•  Receptive to feedback and adaptable to evolving business needs
•  Maintains a professional demeanor and appearance
•  Experience with Tock, WineDirect, and/or Offset a plus
•  Experience with Microsoft Publisher, Adobe Suite, or similar design tools
•  Must be 21 years of age
•  Able to lift and move up to 50 pounds (case of wine)
•  Able to sit, stand, and walk for extended periods
•  Full-time schedule with occasional evenings, holidays, or extended hours during peak periods
