St. Supéry Winery is hiring an Office Manager to be responsible for the winery administration duties including clerical accounting functions.
ESSENTIAL DUTIES AND RESPONSIBILITIES:

• Maintain paperless storage system, ensuring all documents have been scanned and filed properly.
• Maintain Certificates of Insurance and Sales tax exemption certificates files for all vendors and ensuring they are submitted prior to any check being created for the vendor.
• Accounts Payable; maintains purchase order log, enters expenses in ERP system. Verifies proper documentation has been provided considering the A/P and P.O. company policy, resolves purchase order, invoice, or payment discrepancies.
• Holds weekly ACH and check run, monitors discount opportunities.
• Oversee maintenance of accounts payable files and records, including the filing of yearly 1099 statements.
• Respond to vendor and employee inquiries regarding invoices, expenses, and check requests; resolve invoice discrepancies.
• Process and oversee expense reimbursement and reporting; maintains and updates Nexonia Expense Reporting system Adherence to the company’s T&E policy is important.
• Coordinates the daily mail for the entire company.
• Answering phone calls and providing excellent customer service to any customer that calls St Supéry.
• Coordinates the ordering of office supplies, ensuring that the products ordered meet the purchasing policy set forward by management.
• Assists in maintaining the phone system and helps to troubleshoot any issues that arise.
• Maintain copier and postage meter & order supplies as needed.
• Additional responsibilities as directed by supervisor
QUALIFICATION REQUIREMENTS:
EDUCATION, EXPERIENCE AND/OR SKILLS:
• High School Diploma
• Two years in a similar administrative role preferable with accounts payable experience, or equivalent combination of education and experience.
• Business Central experience desired.
• Excellent verbal, written, presentation, and communication skills
• Ability to work well in a team environment and independently
• Ability to meet required deadlines, multitask, and at times manage high levels of stress
• Must have a valid California driver’s license
• Must be detail-oriented, efficient, and very organized
• Must be able to lift 40lbs.
• Knowledge of and ability to effectively use Microsoft Office suite (especially Excel, Word, and Outlook)
• Innovative thinker, resourceful learner, able to find solutions in fast-moving industry
LANGUAGE SKILLS:
• Fluent in English. Ability to read and interpret reports. Ability to read, evaluate, and understand data to write reports. Ability to communicate effectively with co-workers and others.
PHYSICAL DEMANDS:
• While performing the duties of this job, the employee is regularly sitting, listening, requiring the use of hands to finger, and operating a keyboard on a computer, frequently talking and exchanging ideas with individuals. Is required to occasionally stand, walk, handle, or feel objects.
• The employee will regularly lift and/or move up to 40 pounds.
MENTAL DEMANDS
• Attention to detail and thinking are required to perform this position.
WORK ENVIRONMENT
• The work environment is a business office in a functioning winery. The employee is regularly exposed to moderate noise levels from various sources including other employees’ conversations, telephones, and office equipment. The employee may occasionally be exposed to loud noise, strong aromas from the winemaking process, or fluctuating temperatures when meeting with employees in other parts of the facility.
