We are seeking an enthusiastic and organized part-time Administrative Assistant to be an important part of our Direct to Consumer (DTC) team in Napa Valley, CA.
Location: Napa Valley, CA (open to remote work but must live within Sonoma and Napa County)
Schedule: Part-time (approximately 15-25 hours per week; flexible)
Position Overview
The Part-Time Administrative Assistant provides essential support to daily operations, helping ensure the business runs smoothly and efficiently. This role is ideal for someone highly organized, detail-oriented, and comfortable working independently in a small, luxury-focused environment.
Key Responsibilities
• Provide administrative support to DTC management
• Manage personal and tasting calendars, schedule meetings and appointments
• Handle email, phone and RedChirp texting communications, and general correspondence professionally and in a timely manner
• Assist with wine order processing, invoicing, shipping coordination and weekly wine ordering to fulfill tasting needs, order fulfillment and samples
• Coordinate all travel and wine logistics for events as well as all event paperwork
• Support wine club administration and customer communications
• Maintain organized digital and physical filing systems
• Assist with event, tasting, and special project coordination
• Ability to assist at wine events when needed
• Communicate with vendors and service providers as needed
• Perform light bookkeeping and expense tracking support
Qualifications & Skills
• 4+ years of prior administrative or office support experience preferred
• Strong organizational and time-management skills
• Excellent written and verbal communication
• High attention to detail and accuracy
• Proficiency with Google Workspace and Microsoft Office
• Ability to manage confidential information with discretion
• Self-motivated, reliable, and adaptable
• Interest in wine, hospitality, or luxury brands a plus
• Professional, polished, and personable
• Comfortable multitasking and working independently – must be a self-starter with an entrepreneurial attitude
• Proactive problem-solver with a positive attitude
• Service-oriented and detail-driven
