Summary:
This role is pivotal in ensuring adherence to all state and federal regulations and managing day-to-day wine compliance tasks. You will be responsible for excise and sales tax reporting, state brand, label, and distributor registrations, COLA approval, and tracking. This position will also assist the Director in maintaining legal governance, contract review, and ensuring the winery’s operations comply with all legal standards.

Compensation: $80k - $100k
Location: 100% on-site at Napa, CA headquarters

You Will:
Provide comprehensive support to the Director of Legal Operations, ensuring the smooth functioning of legal processes.
Regularly review, structure, and negotiate contracts with vendors, partners, and third-party service providers. Offer counsel to internal teams on legal matters throughout wine production and distribution (procurement, warehousing, sourcing, etc.).
Assist with the preparation, maintenance, and timely submission of state and federal permits, licenses, and registrations for wholesale and direct-to-consumer sales. Ensure compliance with all regulatory requirements.
Manage the registration process of company brands and labels for distribution in all 50 states, as well as international export registrations. Track and maintain a database of approved brands and labels.
Assist in ensuring compliance with wine label regulations and work with the team to resolve any potential issues.
Assist in the timely renewal of insurance policies, ensuring all necessary documentation is submitted and compliance requirements are met.
Prepare and submit state excise, sales, and use tax returns. Ensure that all reporting deadlines are met in compliance with state and federal regulations.
Utilize tools such as ShipCompliant to maintain and track compliance-related data. Ensure that all records are up-to-date and easily accessible.
Act as a liaison between the winery and the TTB (Alcohol and Tobacco Tax and Trade Bureau), handling all necessary correspondence, filings, and compliance issues.
Assist in the creation and refinement of internal state compliance procedures.
Assist with databases of approved labels, licenses, and other compliance records. Maintain and organize physical and electronic files as required by regulatory bodies.
Stay abreast of changes in the legal landscape, including regulatory shifts affecting the wine industry, and communicate relevant updates to the team.
Perform other duties as assigned.

You Have:
Bachelor’s Degree preferred; Paralegal certification is required.
Proven experience in a paralegal or compliance role, preferably in the wine or alcohol industry.
Strong contract drafting, negotiation, and review skills.
Excellent verbal and written communication skills.
Ability to work independently with minimal supervision while also collaborating effectively with all departments.
Advanced proficiency in MS Office Suite (Word, Excel, Outlook), with experience in maintaining compliance databases.
Familiarity with wine industry compliance regulations is a plus, especially excise, COLA, and sales tax regulations.
Exceptional organizational skills with a keen eye for detail and ability to meet deadlines.
Strong analytical and problem-solving skills, particularly related to legal research, data integrity, and compliance issues.
Ability to maintain confidentiality and handle sensitive legal matters with discretion.
Capacity to manage multiple tasks in a high-paced, dynamic environment.
Ability to work cross-functionally with all levels of management and staff, fostering a collaborative and compliant working environment.
Strong process improvement mindset, with the ability to suggest and implement enhancements to compliance processes and systems.
Adaptable and proactive in a fast-evolving legal and regulatory landscape.
Ability to maintain a safe and respectful working environment for all staff members.
