Summary:



The Hospitality Concierge plays a pivotal role in the overall guest experience atQuintessa. This position requires meticulous attention to detail and strong emotional intelligence. As often the first point of contact (via phone, email, or in person), this person is required to understand their role in setting the tone for the guest experience. This position is also responsible for reservations duties such as scheduling and calendaring all experience requests for the Visitor Center, as well as responding to all incoming calls and emails for event ticket sales, trade requests, and concierge partner bookings. This role is responsible for creating and cultivating meaningful relationships with all members and tracking and communicating membership goals and initiatives. As a key member of the Visitor Center team, the HospitalityConcierge will also participate in duties that are guest facing-including, but not limited to welcoming guests at reception and hosting members and trade partners.



Essential Duties:

Membership Duties
•  Responsible for ensuring the highest possible customer service experience for all members & their guests
•  Assist in organizing and hosting events and special experiences for members of the Vineyard Circle
•  Enter all new memberships into CRM within 24 hours of receipt
•  Mail welcome packets to all new members within 7 days of sign-up, ensure thank you/welcome note from host is included
•  Maintain membership records in timely and relevant fashion - keep detailed notes on each member that can be shared across theteam
•  Additional duties and responsibilities as assigned by the Director of Hospitality

Reservations Duties
•  Effectively communicate guest experiences and calendar visits adhering to property policies and consumer expectations
•  Accurately capture all guest data, reservation data and special requests/notes within the reservation system
•  Manage the reservations calendar based on staffing and seasonality to maximize the blueprint and achieve visitation metrics that drive quality guest experiences
•  Respond to all guest emails and voice messagespromptly
•  Be the primary contact for all local partners (hotel concierge, drivers, etc.) and aim to accommodate all visit requests in a timely manner
•  Collaborate with the Visitor Center leadership team to develop and execute partnership engagement initiatives
•  Assist with wine orders via phone and email assuring 100% data collection and accuracy
•  Quickly and effectively resolve guest service issues; possesses the innate ability to turn guest service problems into opportunities
•  Closely work with the Visitor Centerleadership team to accommodate VIP requests
•  Additional duties and responsibilities as assigned by the Director of Hospitality

Hospitality Duties
•  Greet and welcome guest at the reception stand
•  Host members and trade partners as the business needs demand
•  Assist with onsite and offsite events for members and concierge partners
•  Participate in Visitor Center tasting set-ups for groups of all sizes
•  Additional duties and responsibilities as assigned by the Director of Hospitality



Qualifications:


•  Two years of successful experience in a similar position
•  Ability to work weekends and some holidays
•  Positive, energetic, and solution-oriented; focused on delivering excellence for our guests, members, and trade partners
•  Excellent guest service skills; fast learner of new systems; logical and adaptable
•  Familiarity with reservation systems and guest relationship management systems
•  Exceptional interpersonal and guest care, communicating with clarity and consistency, both verbally and in writing
•  Excellent organizational skills and the ability to follow through on projects with minimal supervision
•  Ability to prioritize, multi-task and juggle multiple guest needs
•  Competency with Microsoft Outlook
•  Ability to effectively build relationships with concierge partners, guests and co-workers
•  Passion, enthusiasm, focus, creativity, and positive outlook
•  Does not tire of repetitive tasks
•  Must comply with company policy
•  Kind, respectful, mature



Physical Requirements:


•  Ability to stand for long periods of time.
•  Repetitive use of hands and wrists to open wine bottles, pour wine and operate POS system.
•  Must be able to lift and/or move up to 50 pounds.

Pay range for this role is $30 -$35 per hour. This role is also eligible for a very competitive benefits package.
