Job Title: Executive Assistant (reporting to CoS)
Job Description & Responsibilities:
• Provide support to CEO and Chief of Staff
• Supervise Administrative Assistant
• Calendar management
o Block annual trip dates
o Calendar all personal/medical appointments and travel
• Travel and accommodation coordination
o Helicopter and Jet log maintenance and trip tracking
o Point person for booking lodging, transportation (commercial & private), dinner reservations, entertainment
o Prepare detailed itinerary for each trip
• Event coordination and auction lot fulfillment: company events, personal parties, BottleRock, quarterly team gatherings, etc.
• Asset Management: maintaining records and coordinating repairs for personal vehicle fleet
• Property Reservations: point person for team, family, and distribution partner reservations at ten+ locations
• Contact management: adding relevant information to and maintaining awareness of business partners
• Monthly expense reporting assistance for several individuals
• Procure, ship, and coordinate donated wine to various events, people, organizations; keep track of donation forms for tax purposes
• Legal Representative
o Point person for legal discovery
o Maintain TM files and send requested documentation as needed by lawyers
• Keep track of passwords, file locations, and be able to recall and retrieve information at any notice
• Prepare and edit correspondence, reports, and presentations
• Maintain certain company documents, such as Company Directory and Organization Chart
• Assist with special projects as assigned
• On-call for communication after business hours and weekends for miscellaneous needs and requests
• Miscellaneous personal errands
Qualifications:
• Bachelor’s degree required
• Must be located in Bay Area, ideally Napa
• Office Suite knowledge a plus, though not required
• Strong organizational skills and attention to detail
• Excellent interpersonal skills
• Ability to multitask
• Excellent written and verbal communication
• Strong time-management skills
• Ability to handle confidential information with discretion
• Notary Public or willingness to obtain certification
Salary Range: Exempt, $75-85k annual, plus 20% bonus potential
