Job Summary:

As the Events and Business Development Specialist at our flagship winery, you will play a pivotal role in creating unforgettable onsite events while fostering business growth through strategic planning and exceptional service. You will serve as the primary point of contact for clients, guiding them through the event planning process and ensuring their visions come to life amidst the scenic backdrop of our winery. Your dedication to providing personalized experiences and your knack for forging meaningful partnerships will contribute to the continued success and reputation of our winery as a premier event destination.

Responsibilities:

Respond promptly and professionally to client inquiries via email, phone, or in-person meetings, providing detailed information about our onsite event offerings tailored to their needs.
Act as the primary point of contact for clients through all event planning stages, addressing any queries or concerns that may arise and providing exceptional customer service throughout the process.
Coordinate and conduct onsite visits for potential clients, showcasing the winery's unique features and amenities to highlight its suitability for their events.
Maintain an accurate and up-to-date event calendar, meticulously recording all booked events, appointments, and activities taking place onsite.
Collaborate closely with the Assistant General Manager (AGM) to efficiently allocate resources and manage event scheduling, ensuring seamless coordination and execution of all onsite events.
Assist the AGM in creating comprehensive Banquet Event Orders (BEOs) for each onsite event, meticulously outlining event timelines, room setups, menu selections, and any special requirements.
Liaise with rental companies to coordinate the delivery, pickup, and payment of necessary equipment and supplies for onsite events.
Oversee guest list management processes for onsite events, including sending invitations, tracking RSVPs, and updating attendee information as needed, ensuring accurate communication of event attendance numbers to relevant departments.
Create personalized place cards for onsite events, incorporating client preferences and event themes with meticulous attention to detail.
Develop detailed event schematics and floor plans to guide vendors and staff in setting up the onsite venue according to client specifications.
Utilize advanced event management software, such as Triple Seat, to streamline planning processes and maintain organized event data for all onsite events.
Supervise onsite event setup and teardown, ensuring adherence to the BEO and client requirements for a flawless event experience.
Conduct post-event inspections of the onsite venue to assess condition and inventory, ensuring standards are met and identifying areas for improvement.
Manage inventory levels of essential event supplies for onsite events, including glassware and napkins, arranging for regular restocking and ensuring proper storage.
Provide support to winery hosting staff by conducting onsite tours and tastings as needed, contributing to the overall guest experience and fostering positive relationships with clients and visitors.
Identify and pursue business development opportunities, such as cultivating partnerships with local businesses, wedding planners, and corporate event organizers to expand our client base and increase event bookings.
Conduct market research to analyze industry trends, competitor activities, and customer preferences, providing insights to inform business development strategies and event offerings.
Collaborate with the GM to develop and implement targeted marketing campaigns and promotional activities to attract new clients and drive event bookings.
Assist in developing business proposals, contracts, and pricing strategies to secure profitable event partnerships and long-term client relationships.

Qualifications:

Bachelor's degree in hospitality management, business administration, or related field preferred.
Proven experience in event coordination and customer service, preferably within the hospitality or wine industry.
Excellent communication and interpersonal skills, with a strong focus on providing exceptional customer service.
Meticulous attention to detail and organizational skills, with the ability to manage multiple tasks simultaneously in a fast-paced environment.
Proficiency in event management software and Google Workspace.
Flexibility to work evenings, weekends, and holidays as required by event schedules.
Passion for wine and hospitality, with a dedication to delivering memorable experiences to clients and guests.

Compensation ranges from $66,560 - $72,800 per year (depending on experience)
