ABOUT THE COMPANY
Hundred Acre Wine Group is a family of ultra-premium Napa Valley wineries operating through a multi-entity structure that spans vineyard ownership and farming, winemaking, direct-to-consumer and wholesale distribution, and related real estate holdings. We are committed to producing wines of exceptional quality and to running a business with the financial discipline that quality demands.
POSITION SUMMARY
The Accounts Receivable & Inventory Accountant owns the accuracy of customer balances and wine inventory records across the company's legal entities. Reporting to the Controller, this role manages billing, cash application, and collections for wholesale, export, and direct-to-consumer sales; keeps the open orders pipeline clean from order to invoice; and records and reconciles bulk, packaging, and case goods inventory to the general ledger. This is a hands-on role for a detail-oriented accountant who enjoys tracing transactions to the source, fixing root causes, and partnering closely with sales, logistics, and production.
KEY RESPONSIBILITIES
Accounts Receivable & Cash Application
• Prepare and post customer invoices and credit memos for wholesale, distributor, and export sales in Business Central.
• Apply customer payments (wires, ACH, checks, and credit card settlements) daily, and reconcile direct-to-consumer platform deposits to cash and receivables.
• Track export prepayments and release orders once funds are received.
• Process and track distributor billbacks, samples, and no-charge shipments.
• Reconcile the AR subledger to the general ledger each month and prepare allowance and aging analysis for the Controller.
Order-to-Cash & Open Orders
• Maintain the open orders report and fulfillment statuses in partnership with sales and logistics, so it is clear who needs to act to get each order out the door.
• Clear shipped-but-not-invoiced orders, close partially shipped quantities, and cancel aged orders under company policy.
• Prepare monthly unshipped revenue and related cost of goods sold entries, including 9L case volume.
Inventory Accounting
• Record inventory transactions in Business Central, including packaging and dry goods receipts, bottling, transfers between locations and third-party warehouses, and adjustments.
• Reconcile bulk wine, packaging, and case goods inventory by location to warehouse and production records and to the general ledger each month, and investigate and resolve differences.
• Coordinate physical inventory and cycle counts with operations and warehouse partners, and document count results and variances.
• Maintain item records, units of measure, and pack sizes so inventory and case volume report accurately.
• Support vintage-level cost accounting and cost of goods sold relief under the direction of the Controller.
Close, Audit & Compliance
• Complete month-end journal entries, accruals, and account reconciliations for receivables, inventory, and deferred revenue on the close calendar.
• Prepare audit schedules and support, including inventory purchase listings, revenue transaction listings, and monthly revenue and cost of sales detail.
• Provide sales and inventory data that supports sales and use tax, excise tax, and DTC shipping compliance reporting.
Process Improvement
• Document procedures for receivables, open orders, and inventory, and train colleagues on them.
• Identify and implement Business Central improvements that reduce manual work and close timing, such as better volume and order-status reporting.
QUALIFICATIONS
Required
• Bachelor's degree in Accounting or Finance, or equivalent experience.
• 3+ years of accounting experience in accounts receivable, inventory, or general accounting.
• Experience reconciling subledgers (AR and inventory) to the general ledger and resolving variances.
• Working knowledge of inventory accounting in a manufacturing, agricultural, or consumer products environment.
• Strong Excel skills, including PivotTables and lookups, and experience working in an ERP system.
• Clear, professional communication with customers and non-finance colleagues.
Preferred
• Wine or beverage industry experience, including case goods, distributors, third-party warehouses, and direct-to-consumer sales.
• Experience with Microsoft Dynamics 365 Business Central.
• Familiarity with DTC commerce and compliance platforms such as ShipCompliant.
• Experience preparing audit schedules and supporting external auditors.
• Progress toward a CPA license.
KEY ATTRIBUTES
• Precision. High standards for accuracy, documentation, and follow-through.
• Ownership. Takes responsibility for clean balances and closes open items rather than carrying them forward.
• Discretion. Handles customer, pricing, and financial information with complete confidentiality.
• Curiosity. Traces variances to their root cause and fixes the process, not only the number.
• Partnership. Works constructively with sales, logistics, and production to keep orders and inventory moving.
COMPENSATION & BENEFITS
The base salary range for this position is $35-$45/hr. Placement within the range will depend on experience, qualifications, and skills. This role includes a comprehensive benefits package including medical, dental, and vision coverage; 401(k) with company match; and paid time off.
