Job Description:

The Customer Service Representative is responsible for all wholesale order processing & logistics. This role supports Sales by resolving order-related issues, ensuring order accuracy for each order from receipt through invoicing and shipment confirmation. Ideal candidate is organized and very detail oriented.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
Duties/functions may include, but are not limited to, the following:
•  Oversee organization and communication for incoming orders with sales team and various distributors and carriers
•  Review and process all domestic customers’ purchase orders for all of St. Supery orders in an accurate and timely manner.
•  Coordinate with Orders & Shipping Logistics Manager and notify warehouse about special orders, and logistical coordination. Review inventory at warehouses and recommend transfers.
•  Enter and execute samples order for national sales team, marketing requests etc.
•  Process all Export/transport orders coordinate with ES/OH as needed as well as with distributors, carriers and warehouses to ensure all paperwork is completed
•  Work within various partner portals to process orders, schedule carrier appointments and set up items as needed (TJ, BX, VIP as some examples)
•  Troubleshoot shipping problems with systems and warehouses
•  Generate supplier bill back invoices. These included 50% samples, 100% samples, spoils, consignment storage, depletion allowances, promotions, trade tastings, incentives and miscellaneous bill backs and reconcile against distributor statements
•  Review Supplier AR aging with accounting and send communication to collect past due invoices
•  Send out EFT notices to Distributors.
•  Provide monthly FOB sheet for distributors and sales team once items and pricing is confirmed
•  Oversee end of month close for warehouse ensure all distributor documents are entered, try to encourage shipping and approval within the month and post when completed
•  Additional duties as directed by supervisor.
•  Cross train on wine club order entry and customer service.

QUALIFICATION REQUIREMENTS:
EDUCATION:
•  BA/BS degree preferred, or equivalent experience.

EXPERIENCE AND/OR SKILLS:
•  One to two years related experience, or equivalent combination of education and experience, preferably in the wine industry.
•  Self-starter with excellent organizational skills. Ability to solve problems, meet required deadlines, multitask, and prioritize multiple pressing requirements.
•  Excellent verbal, written, presentation, and communication skills
•  Ability to work well in a team environment and in close working conditions with employees
•  Must have a valid driver’s license
•  Must be detail-oriented, efficient, and very organized
•  Must be able to lift 40lbs.
•  Knowledge of and ability to effectively use Microsoft Office Suite (especially Excel, Word, and Outlook)
•  Innovative thinker, resourceful learner, able to find solutions in fast-moving industry
