ABOUT THE ROLE
The Senior Fulfillment & Inventory Specialist administers the daily operation of fulfillment and inventory across our four brands. We are looking for someone who has held a similar role before and can make decisions about orders, inventory movement, and system records without being walked through them.
The Specialist decides which orders ship and when, what carrier service and packaging the wine needs, whether a shipment meets state and international law, and what inventory moves between our property and our fulfillment partner. The position is trained across the full function and provides coverage during the Manager's absences and peak shipping periods.
Approximately 85-90% of the work is administrative and can be performed remotely, in Commerce7, ShipCompliant, the fulfillment portal, Asana, and Excel. The remaining 10-15% is onsite in Amity, principally on Thursdays for the weekly transfer. Additional onsite days are required during seasonal release periods.
WHAT YOU WILL DO
Fulfillment
- Select carrier service, packaging, and ship date for each order, and modify, hold, or release orders on your own authority when conditions require it.
- Interpret state and international direct shipping law, monitor per-client volume against statutory limits, generate required paperwork, and flag licensing gaps early.
- Review delivery status daily, determine the remedy for failed or at-risk deliveries, and execute it with the carrier and the client.
- Determine which clients need notice ahead of each ship date, build the outreach lists, and update orders as clients respond.
- Review shipping, freight, and fulfillment invoices against activity and agreed rates, approve conforming invoices and assign coding, and pursue corrections with the provider.
- Arrange white glove carrier collection and international and trade shipments.
Inventory
- Analyze deficiency and demand data, determine the wines and volumes needed at each location, and build the weekly transfer submissions in both directions.
- Own the accuracy of our inventory locations document, recording wine, volume, and storage location for inventory transferred in.
- Add allocations to Commerce7, set up and retire SKUs across platforms, and maintain the detailed item list.
- Administer inventory transfers between sales divisions, including the platform updates each one requires.
- Audit orders and inventory across ecommerce, compliance, fulfillment, and ERP systems, correct what falls within your authority, and bring the balance forward with a recommendation.
Hospitality and clients
- Serve as the single logistics authority for pickup orders end to end, from logging the reservation through marking orders fulfilled across platforms.
- Monitor Hospitality and marketplace orders for insufficient inventory and determine how affected orders are handled before it becomes a client conversation.
Analysis and reporting
- Model shipping and freight costs, calculate client facing shipping rates, and determine wine and packaging quantities needed ahead of each seasonal release.
- Prepare month end fulfillment reporting for Finance and compile damage and claims reporting after each seasonal shipping period.
- Write and maintain standard operating procedures for each core process.
Onsite, Thursdays in Amity (10-15% of the role)
- Direct the weekly transfer between the property and our fulfillment provider, pulling and staging wines for shipping.
- Confirm that wine sent and received aligns with transfer forms and bills of lading, and determine whether a shipment is accepted, held, or refused.
- Bring pickup orders in on the weekly transfer and stage them onsite for the Hospitality team to hand to guests.
WHAT YOU BRING
- 4-5+ years administering fulfillment, logistics, and inventory for a winery or direct to consumer beverage alcohol business, including hands on ownership of a third party fulfillment relationship.
- Working command of DTC alcohol shipping regulation across multiple states, and practical experience administering it in ShipCompliant or an equivalent platform.
- Demonstrated proficiency in Commerce7 or a comparable ecommerce platform and in a third party fulfillment portal.
- Advanced Excel: comfort building and reconciling large data sets, including lookups, pivot tables, and audits that span several platforms.
- A record of making and owning operational decisions independently.
- Experience writing standard operating procedures for other people to follow.
- Exceptional attention to detail across several platforms at once, and the ability to prioritize competing deadlines without daily supervision.
- Excellent written communication and a client service instinct.
- Able to work onsite in Amity on Thursdays plus additional days during seasonal releases; able to lift up to 40 pounds, with or without reasonable accommodation.
- Must be 21+ with a valid driver's license and clean driving record. Occasional driving may be required.
Preferred: Asana, Tock, or similar project management and reservation systems; ERP or accounting systems knowledge, NetSuite a plus; experience administering fulfillment across more than one brand or sales division.
