Winery Administrator
Turley wine Cellars, Templeton (Paso Robles); onsite 5 days/week
Full-time, non-exempt (hourly)
Schedule: Sunday-Thursday, including occasional holidays, events, and overtime
POSITION SUMMARY
The Winery Administrator provides essential administrative and operational support to ensure the smooth day-to-day functioning of the winery. This role serves as a central point of communication between departments, assists with office management and order fulfillment and supports customer service.
This is a detail-intensive, deadline-driven position that requires strong organizational skills, follow-through, and the ability to manage multiple priorities. In addition to general office and administrative responsibilities, the Winery Administrator processes sales orders, reports, and tasting room inventory. In addition to back-office expertise, the Administrator will support hospitality functions including floor coverage, opening and closing duties and special events. The work requires genuine comfort in working with our POS systems (Shopify and Tock) along with elevated hospitality and people skills.
KEY RESPONSIBILITIES
Administrative
-Manage daily office operations, admin and IT tasks
-Answer phones, emails, and general customer inquiries in a professional manner
-Create and maintain SOPs, organized filing systems, and accurate administrative records
-Collect and distribute mail
-Order supplies and maintain inventory
-Serve as a liaison between departments to ensure efficient communication
-Assist leadership with projects, reports, and administrative initiatives
-Coordinate vendor communications, repairs, and winery supply purchasing
-Manage hospitality house calendar and reservations
-Distribute monthly employee wine program (EWP)
-Plan and execute internal events
Hospitality and Customer Support
-Respond to customer questions regarding wine orders, memberships, and winery experiences
-Assist with reservation management and special event coordination
-Support the tasting room team during busy periods when needed
-Provide excellent customer service while representing the winery's values and brand
-Support on hospitality events, planning and execution
-Provide coverage for opening and closing duties as needed
Order Processing
-Process tasting room orders: verify compliance; commit orders in ShipCompliant; adjust/split orders to meet state regulations; generate carrier labels
-Coordinate shipping and fulfillment: pack and ship tasting room orders; support staff with pickup orders; maintain accurate order status in POS; and assist with the shipping and receiving of wine for the tasting room and winery
-Assist guests with shipment tracking and delivery inquiries, utilizing carrier tracking tools to monitor shipments and help ensure timely delivery
Business Office Processes
-Participate in monthly inventory
-Maintain accurate inventory records for wine, office, and retail supplies
-Maintain accurate administrative records and reports
-Support payroll and human resources processes as assigned
-Become in-house expert on POS and tasting room systems
-May assist with some basic invoicing, purchase orders, expense tracking, and bookkeeping tasks, including bank deposits
Compliance and Organization
-Maintain confidential employee and business information
-Ensure documents are accurate, complete, and filed appropriately
-Support compliance with company policies and applicable winery regulations
-Support payroll and human resources processes as needed
QUALIFICATIONS
-Two to four years of related administrative, shipping, or hospitality-operations experience; wine industry background strongly preferred
-Must be 21+ years of age
-Highly proficient in Excel, MS Office, POS and reservation systems, and basic database work
-Proficiency with carrier portals (UPS, FedEx, GLS) and fulfillment platforms such as ShipCompliant, or demonstrated aptitude to master them quickly
-Accuracy with financial, shipping, and compliance data — attention to detail is essential to this role
-Strong analytical and problem-solving skills, with ability to research solutions and work independently
-Proven ability to manage multiple priorities and firm monthly deadlines with minimal supervision
-Excellent written and verbal communication, strong interpersonal skills, and a good sense of humor
-Discretion and sound judgment with confidential employee, customer, and business information
-Excellent attendance, reliability and punctuality — this is a critical, year-round function
-Valid California driver’s license and clean driving record; forklift certification a plus
-RBS certification or ability to receive certification within 90 days after hire
-Spanish fluency a plus
ESSENTIAL JOB DUTIES & PHYSICAL REQUIREMENTS
-Maintain focus and work at a desk/computer for extended periods of time
-Stand, move, walk, squat, climb stairs, push, crouch, bend, twist, reach, balance, and kneel on a regular basis
-Repeatedly lift, carry, and move wine cases and large packages, up to 50 pounds
-Operate and move a hand truck holding 3 cases of wine; occasionally operate a pallet jack or forklift if certified
-Use arms, hands, and fingers to consistently and accurately operate basic office equipment repeatedly throughout a shift
-Perform opening, closing, and various housekeeping tasks
-Work in a fast-paced environment under pressure while maintaining accuracy
-Communicate in a clear, understandable speaking voice with employees, vendors, and guests
COMPENSATION
$25.00-28.00 per hour DOE, full benefits package (medical/dental/vision/life), paid vacation and holidays, profit sharing/401(k), employee wine program
