PRIVATE CLIENT SENIOR CONCIERGE

POSITION SUMMARY
The Private Client Senior Concierge is a primary executor of our client engagement strategy, transforming the Director's vision into exceptional daily experiences for our collectors and connoisseurs. As the Director's lead direct report on the allocation program, this role assists in the management and execution of each release while nurturing client relationships and developing our membership.
The work is collaborative by design. The Senior Concierge partners closely with the Vice President of Sales, the Vice President of Communications & Marketing, and the Director of Growth, carrying their strategies through to the client and bringing back what is learned in the field.
We seek an exceptional relationship builder who approaches execution with both grace and discipline, someone who can carry out sophisticated strategies while maintaining the warmth and personalization that define luxury service.
PRIMARY RESPONSIBILITIES
Allocation Program Execution (45%)
• Execute the allocation calendar in support of the Director, coordinating timing, presentation, and distribution with precision alongside senior leadership.
• Deliver allocation offering communications and craft the daily member correspondence, personalizing each message to the client's preferences and purchasing history.
• Maintain the waitlist in the CRM, identifying high-potential clients while ensuring long-standing patrons receive privileged consideration.
• Keep client, release, and pipeline records accurate and current so leadership has reliable data on acceptance rates, purchasing patterns, and client satisfaction.
• Execute membership acquisition workflows, guiding qualified prospects from first contact through conversion.
• During release windows, work alongside the Private Client Concierge on order processing, payment resolution, and fulfillment so that no client communication goes unanswered.
Client Engagement & Development (35%)
• Establish and deepen relationships across the entire membership, anticipating needs and recognizing preferences with meticulous attention to detail.
• Execute outbound engagement with thoughtful communications, exclusive previews, and personalized recommendations.
• Identify opportunities to enhance member lifetime value, transforming transactions into long-term relationships built on shared appreciation for quality.
• Maintain client records that blend narrative understanding with actionable data, enabling increasingly personalized service.
• Cultivate referrals with discretion and care, and welcome those guests personally.
Guest Experience Support & Cross-Coverage (20%)
• Maintain working proficiency across all Private Client functions (reservations, visitation, hospitality, transaction processing) and serve as primary backup to the Guest Experience Senior Concierge during peak visitation, events, and absences.
• Serve as a gracious point of contact for guests and members who reach us directly, and as a local ambassador.
• Host and participate in select tastings, tours, and estate experiences.
• Support Private Client events with guest lists, invitations, and post-event follow-up that converts attendance into deepened relationships and membership.
• Supply the hospitality team with nuanced client insight: history, purchasing patterns, preferences, dietary considerations, and special occasions.
QUALIFICATIONS
Required
• 4+ years in client relations, luxury hospitality, high-end retail, or membership- and allocation-based sales.
• Demonstrated success executing a complex program end to end in support of a senior leader, with meticulous attention to detail under deadline.
• Comfort working across departments with senior stakeholders.
• Comfort with outbound, consultative client development by phone, email, and in person.
• Disciplined CRM habits, with proficiency in CRM systems and Microsoft Office Suite.
• Exceptional interpersonal, organizational, and project management skills.
• Sophisticated written and verbal communication abilities.
• Ability to work independently, collaborate effectively, and maintain strict confidentiality.
• Must be 21+ years of age.
Preferred
• Wine industry or luxury goods experience.
• Direct experience with allocation models, release cycles, or membership programs.
• Familiarity with high-net-worth client service expectations.
• Experience with direct-to-consumer wine commerce platforms.
• Background in event planning and experience coordination.
