Position Overview
Ponzi Vineyards is seeking an organized, hands-on Accounting & Office Manager to join our finance and administration team. This role reports to the VP of Finance and is ideal for someone who thrives wearing many hats in a fast-paced, team-oriented environment. You'll be the go-to person keeping our office running smoothly.
Key Responsibilities
Payroll Administration
Process and manage bi-weekly payroll using Paycom, including hourly and salaried employees across vineyard, production, and hospitality teams
Ensure accurate time tracking and compliance with wage and hour laws
Calculate and process tip pool distributions and monthly commissions for hospitality and sales teams
Maintain payroll records, benefits deductions, and assist with employee inquiries
HR & Employee Onboarding (Paycom)
Serve as point person for new hire onboarding through Paycom, including verifying I-9 and other required employment documents
Set up new employees with payroll system access and ensure accurate entry of personnel data
Guide employees through benefits enrollment, explaining available offerings and sign-up deadlines
Maintain accurate personnel records and support offboarding processes as needed
Office & Facilities Support
Serve as primary point of contact for office and facility needs — coordinating with vendors for repairs, maintenance, and general upkeep
Manage office supplies, ordering, and day-to-day workplace functionality
Support employee onboarding logistics, workspace setup, and records organization
Cash & Tasting Room Support
Manage cash for the tasting room, including regular bank runs to break bills and maintain proper cash levels
Reconcile tasting room cash drawers and support hospitality team with cash-handling needs
Accounts Payable & Receivable
Manage full-cycle AP using Ramp, including invoice intake, coding, approvals, and payment processing
Maintain vendor relationships and ensure timely, accurate payments
Support AP approver workflows and troubleshoot Ramp issues as they arise
Record sales activity and issue invoices across sales channels
Update AR payments received, ensuring accurate and timely posting
Accounting Support
Prepare and reconcile bank accounts, ensuring accuracy and proper documentation
Support annual audits and census filings by gathering and organizing requested documentation
Assist in preparing supporting schedules and budget workbooks as needed
Qualifications
2+ years of office administration, full-charge bookkeeping, or related experience; winery, hospitality, or restaurant experience a plus
Experience with payroll systems (Paycom preferred) and comfort handling payroll compliance and HR onboarding basics
Comfortable with cash handling and bank errands
Experience with AP platforms (Ramp preferred) or accounting software (QuickBooks Online a plus)
Strong organizational skills and comfort working in a paperless, tech-forward environment
A flexible, team-first attitude — ready to jump between tasks as priorities shift
Proficiency in Excel/Google Sheets

Compensation & Benefits
Salary: $65,000–$80,000 annually, depending on experience and qualifications
