Assistant Tasting Room Manager

Position Overview
Long Shadows Vintners is seeking a highly organized, hospitality-driven Assistant Tasting Room Manager to support the daily operations of our Woodinville tasting room. This role blends luxury guest service, team leadership, inventory and operational management, food program oversight, and hands-on floor leadership during peak business hours.
The ideal candidate is both operationally minded and guest-focused: someone who naturally identifies opportunities to streamline systems, improve efficiency, reduce unnecessary costs, and strengthen the overall guest experience. This individual should be comfortable balancing the details of day-to-day logistics while also thinking strategically about operational improvements, expense management, and new revenue opportunities within the tasting room environment.
This is a highly collaborative role that works closely with the General Manager to maintain exceptional hospitality standards while supporting the continued growth of the tasting room business.
ESSENTIAL RESPONSIBILITIES
Guest Experience & Hospitality
• Respond to email and phone guest inquiries, overseeing tasting room reservations, large group requests, club member support, and general tasting room communication.
• Deliver thoughtful, personalized service to guests and Key Club members, including assistance with wine orders, special requests, and shipping coordination.
• Provide polished, attentive hospitality while educating guests about Long Shadows wines and experiences.
Operations, Systems & Business Optimization
• Continually evaluate tasting room operations to identify opportunities for improved organization, efficiency, consistency, and profitability.
• Develop, refine, implement systems that improve workflow and support a high-functioning service environment.
• Track operational and program expenses with strong attention to cost control, inventory management, and financial accountability.
• Collaborate with leadership to explore and develop new revenue-generating opportunities, guest experiences, food offerings, and operational initiatives.
• Maintain organized operational records, inventory data, and reporting using Excel and internal systems.
• Help strengthen operational consistency across front-of-house, back-of-house, and administrative functions.
Tasting Room Operations
• Assist and support tasting room floor during peak service periods, including table serves on high-volume days, especially Saturdays and Sundays.
• Supervise tasting room staff in delivering polished, attentive service.
• Assist with guest recovery, technical troubleshooting, and communication between front-of-house and back-of-house operations.
• Develop, document, and refine standard operating procedures related to opening and closing procedures, floor service, and hospitality standards.
• Assist with special events, wine club programming, live music evenings, and private rentals as needed.
• Support general upkeep of the tasting room facility and communicate maintenance needs when outside repairs are required.
Wine, Retail & Inventory Management
• Complete regular wine inventory counts and support accurate inventory management practices, including owning the systems and processes that track inventory.
• Prepare weekly wine order recommendations in coordination with the General Manager.
• Monitor and maintain operational supply inventory throughout the tasting room.
• Work collaboratively with the tasting room team to build strong inventory management habits and accurate counting procedures.
Food Program & Operational Logistics
• Collaborate with leadership on the development and refinement of tasting room food offerings with an emphasis on operational efficiency and profitability.
• Maintain cost-of-goods and inventory tracking data for food program items.
• Place and manage food and supply orders with distributors and vendors.
• Help establish efficient ordering systems and operational procedures that reduce waste and improve consistency.
• Monitor vendor and supply expenses and help identify opportunities for cost savings.
Scheduling & Administrative Support
• Assist with preparation of staff schedules in coordination with the General Manager and team members using tasting room scheduling applications.
• Support administrative and operational projects that improve organization, communication, and efficiency across the tasting room.
• Help maintain a positive, collaborative, and solutions-oriented workplace culture.
QUALIFICATIONS
Required Skills & Experience
• 3+ years experience in hospitality, wine, restaurant, retail, or tasting room management required.
• Exceptional organizational skills with the ability to manage multiple operational priorities simultaneously.
• Demonstrated ability to improve systems, streamline workflows, and support operational efficiency.
• Strong financial awareness, including experience tracking inventory, controlling costs, and supporting revenue growth initiatives.
• Strong interpersonal and guest service skills with an elevated, solutions-oriented approach to hospitality.
• Ability to lead a team in a fast-paced environment while maintaining professionalism and composure.
• Ability to work weekends, evenings, and event-based schedules.
• Experience with inventory systems, POS platforms, reservation systems, and Microsoft Excel preferred.
• Wine knowledge and enthusiasm for hospitality.
• Ability to lift 40 lbs and remain active on the floor for extended service periods.
Compensation & Benefits
Competitive hourly compensation based on experience. Range is $25-29/hour.
