Position Overview
Long Shadows Vintners is seeking an entrepreneurial and hospitality-driven Events & Experiences Manager to lead private event sales, on-site programming, and experiential hospitality initiatives at our Woodinville tasting room.
This role oversees the full lifecycle of events and guest experiences from inquiry and proposal development through execution and post-event follow-up, while helping shape the tasting room as a destination for elevated hospitality, member engagement, and thoughtfully curated programming.
The ideal candidate combines strong sales instincts with exceptional organizational ability and a passion for hospitality. This individual should be comfortable balancing client communication, event logistics, operational coordination, and revenue growth initiatives while collaborating closely with leadership, marketing, hospitality, and club managers.
This position plays a central role in expanding Long Shadows’ presence in Woodinville through private events, member programming, strategic partnerships, and distinctive guest experiences that reflect the Long Shadows brand.
ESSENTIAL RESPONSIBILITIES
Event Sales & Client Management
• Serve as the primary booking contact for private events and hospitality inquiries.
• Manage the full event lifecycle from inquiry through execution and follow-up.
• Build and deliver event proposals, including pricing, space selection, wine pre-sales, and overall experience structure.
• Actively explore new private event sales opportunities by building connections to local corporate and organizational networks.
• Guide clients through food, beverage, wine, and hospitality selections to create tailored event experiences.
• Negotiate contracts, pricing, and event details while ensuring alignment with company standards and revenue goals.
• Maintain booking systems, contracts, event calendars, and client communication with a high degree of organization and accuracy.
• Build and maintain relationships with corporate clients, vendors, community partners, and repeat guests to drive long-term business growth.
Programming & Guest Experiences
• Develop and execute innovative tasting room programming, including club events, wine dinners, live music evenings, seasonal activations, markets, and strategic partnerships.
• Partner with the Key Club Manager to create compelling experiences and recurring club programming.
• Develop new hospitality concepts and experiential offerings that strengthen guest engagement and increase revenue opportunities.
• Maintain awareness of hospitality, wine, and event trends to continuously refine programming and elevate the guest experience.
Event Operations & Execution
• Own internal event logistics and execution planning for private and winery-hosted events.
• Produce detailed BEOs, floor plans, menus, signage, and run-of-show documents to ensure operational clarity across teams.
• Coordinate staffing, service flow, setup, and logistical planning in collaboration with tasting room leadership.
• Support successful execution of events by maintaining a visible and engaged presence during event service.
Cross-Functional Leadership & Marketing Alignment
• Collaborate regularly with the Director of Marketing to launch, promote, and optimize event programming across booking and marketing platforms.
• Ensure event materials and guest-facing communications align with Long Shadows brand standards.
• Support coordinated sales and marketing efforts related to new programming initiatives and seasonal campaigns.
• Maintain strong communication across departments through calendars, meetings, planning documents, and operational updates.
Financial Performance & Revenue Growth
• Track event-related financial performance, revenue, and profitability in collaboration with leadership and finance teams.
• Maintain accurate event reporting, sales tracking, and booking data.
• Contribute to ongoing revenue growth by identifying opportunities to improve event sales, programming performance, and guest conversion.
• Help develop pricing structures, package offerings, and strategic programming initiatives that strengthen long-term profitability.
Qualifications & Required Experience
• 3–5 years of experience in event sales, hospitality management, luxury service, winery operations, or related fields preferred.
• Demonstrated success in client management, event coordination, sales, or hospitality operations.
• Exceptional organizational skills with the ability to manage multiple projects, timelines, and priorities simultaneously.
• Strong communication, interpersonal, and relationship-building skills.
• Ability to remain composed and solutions-oriented in fast-paced hospitality environments.
• Experience with CRM systems, booking platforms, event management software, POS systems, and Microsoft Office/Excel preferred.
• Wine knowledge and enthusiasm for hospitality strongly preferred.
• Ability to work evenings, weekends, and event-based schedules as needed.
• Ability to lift 40 lbs and remain active during event setup and service periods.
