Office Manager/Customer Fulfillment Specialist

Job Description:

This is a hybrid position that entails (1) general office administration, (2) customer relations, (3) regulatory compliance, (4) shipping, and (5) event planning. We seek a smart, energetic team member capable of representing our company to customers and supporting/interacting with other members of our small team. The job is based in an office environment, but will occassionally require work in an outdoor environment. Experience in the wine industry and/or an interest in wine is a bonus. Ability and motivation to learn new skills may overcome a lack of experience for a strong candidate. This job is based in Los Angeles.

Office Administration
•  Answer phones, emails, text messages.
•  Interface with e-commerce software that incorporates product sales, inventory control, customer relationship management (CRM), regulatory compliance, and email/text campaigns. Prior experience with similar systems is a bonus, but ability to learn is key.
•  Strong communication skills and a customer-focused mindset.
•  Ability to maintain strict confidentiality and exercise sound judgment when handling sensitive information.

•  Support daily administrative tasks such as mail preparation, scanning, filing, and document handling.
•  Ability to perform light bookkeeping to support accounting staff.

•  Participate in company meetings, trainings, and team initiatives.
•  Coordinate mandated Responsible Beverage Service (RBS) and sexual harassment training for staff.
•  Work with social media personnel to assist with high-quality customer communications and marketing. •  Assist in executing company marketing plan.

Customer Relations
•  Engage customers by demonstrating the highest degree of genuine warmth and friendly, professional telephone, e-mail, and texting service experiences.
•  Ensure a high-touch customer experience that supports our mission of making our customers feel important and appreciated, and creates customer loyalty.
•  Be responsive, gracious, and creative in solving customer problems or complaints, and proactive in anticipating customer needs.
•  Cultivate a strong knowledge of our wines, make recommendations based customer on preferences.
•  Maintain customer database including contact and billing information, status, ensuring all data entry is current and accurate on a regular basis.
•  Notify customers of declined credit cards via email, phone, and texting platform.
•  Fulfill will-call orders with the concierge team to ensure a seamless guest pickup experience.
•  Work with fulfillment warehouse and shipping carriers to ensure timely and accurate direct-to-consumer wine shipments.
•  Recognize and personally greet customers, providing thoughtful, personalized touches that strengthen member relationships and retention.

Regulatory Compliance and Reporting
•  Prepare, submit, and track regulatory filings including brand registrations, license applications, renewals, tax accounts, and state product registrations.
•  Complete and submit required compliance reporting, including monthly wholesale and direct-to-consumer (DTC) reports.
•  File state price postings, CRV reporting, and other required state submissions.
•  Maintain and track company licenses and permits; coordinate renewals and ensure timely submission.
•  Create and maintain compliance tracking tools, summaries, and spreadsheets to support reporting and operational needs.
•  Stay current on evolving alcohol beverage laws and regulations and implement necessary compliance updates.

Shipping
•  Prepare orders for customers and arrange shipping via UPS, FedEx, or other shipping platforms.
•  Monitor and order shipping supplies.
•  Perform occasional personal deliveries, using your vehicle, to customers within the Los Angeles area.
•  Track shipping and provider answers to customer shipping questions.

Event Planning
•  Plan occasional events in conjunction with sales and production personnel.
•  Interface with event planners, caterers, valet services and other contractors retained for events.
•  Send invitations to customers via email, text, and snail mail.

What You’ll Need to Succeed
•  Strong organizational skills, attention to detail, and excellent follow-through.
•  Proficiency in Microsoft 365, Outlook, Excel, Adobe Acrobat, and Word (or similar tools).
•  Experience with or ability to learn a winery-based e-commerce software system.
•  A proactive and supportive mindset with a willingness to assist where needed.
•  Comfort with standard office equipment and digital tools.
•  Warmth, attentiveness, and thoughtfulness in every interaction.
•  Strong communication skills.
•  Strong problem-solving and critical thinking skills
•  Natural ability to collaborate, adapt, and play well with others.
•  Passion about wine, food, and creating memorable guest experiences.
•  Minimum 2+ years experience in hospitality, guest services, office management, or related field preferred.
•  College degree preferred.
•  Must be at least 21 years of age.
•  Valid driver’s license and occasional travel availability.
•  Reliable personal transportation.
•  Ability to pass a background check.

Physical Requirements
•  Must be able to taste, smell, hear, and speak effectively.
•  Ability to lift and move items up to 40 pounds.
•  Ability to tolerate extended periods of sitting, standing and walking on hard surfaces.
•  Be comfortable bending, climbing, reaching, stooping, and kneeling.
•  Available to occasionally work evenings, weekends, and holidays.
•  Comfortable working indoors and outdoors, possibly in cold, hot, or rainy weather.
