About the Role
Our Finance team keeps the operation humming behind the scenes. As our Payroll & AP Administrator, you’ll own two full company payrolls, process approximately 500 vendor invoices per month, and serve as the go-to expert for our HRIS and accounts payable systems. You’ll also be a true partner to every department on our property—from the vineyard crew to the hospitality team—supporting them with professionalism, accuracy, and a collaborative spirit. Bilingual fluency in English and Spanish is required for this role, reflecting our commitment to an inclusive and respectful workplace where every employee is seen and supported.
What You’ll Do
• Own end-to-end processing of two bi-weekly company payrolls with accuracy and on-time delivery, every pay period.
• Apply your deep knowledge of California wage and hour law including overtime rules, meal and rest period premiums, final pay deadlines, and more.
• Administer and troubleshoot our ADP payroll platform; you’ll be the internal expert.
• Manage full-cycle AP for ~500 invoices/month: invoice coding, approvals, check runs, ACH payments, and vendor reconciliations.
• Maintain HRIS employee data integrity and generate payroll and workforce reports for Finance, HR, and leadership.
• Reconcile the payroll register and AP subledger to the general ledger monthly.
• Manage benefit deductions, Vacation and sick leave accruals, 401(k) payments, 1099s, W-2s, and all year-end reporting.
• Oversee the company credit card reconciliation process across all departments.
• Spot inefficiencies in current systems and actively pursue improvements—we’ve recently upgraded platforms and there’s real opportunity to shape how we work.
• Partner respectfully and collaboratively with employees across every department of the winery to answer questions and keep things running smoothly.
• Communicate fluently in both English and Spanish to support our full team.
What You Bring
• Bachelor’s degree in Business, Finance, Accounting, or equivalent experience.
• 3+ years of payroll processing experience including demonstrated California wage & hour compliance knowledge.
• Hands-on ADP experience—you know the system, not just the surface.
• 3+ years of full-cycle accounts payable experience including high-volume invoice processing.
• HRIS proficiency with a knack for data extraction, reporting, and keeping records clean.
• A proactive, forward-thinking mindset—you don’t wait for problems to find you.
• Strong Excel skills (pivot tables, VLOOKUP/XLOOKUP) and comfort across MS Office.
• Bilingual fluency in English and Spanish.
• Exceptional attention to detail, even on deadline.
• A collaborative, respectful communication style—you work well with everyone, from the cellar to the corner office.
• High standards of confidentiality and professionalism.
• FPC or CPP certification is a plus!
