Position Overview:

The Donum Estate is currently seeking a dynamic and experienced Executive Assistant to CEO to join our team. Reporting directly to the CEO, this critical role is responsible for providing high-level administrative, operational, and strategic support in a fast-paced winery environment. This role requires exceptional organizational skills, discretion, and the ability to manage competing priorities while serving as a key liaison between the CEO, internal teams, and external partners.

Essential Duties & Responsibilities

Executive Support
•  Manage complex calendars, scheduling internal and external meetings, VIP visits, and travel logistics.
•  Prepare agendas, briefing materials, and presentations for meetings, board sessions, and industry events.
•  Act as a gatekeeper and liaison between the CEO and internal/external stakeholders
•  Handle confidential information with a high level of discretion and professionalism
•  Draft correspondence and email responses in the CEO’s voice, applying established tone and formatting standards
•  Assist in preparing weekly business updates and briefings

Operational & Strategic Coordination
•  Support execution of key initiatives and special projects across departments (e.g., operations, sales, marketing, hospitality)
•  Track deadlines, deliverables, and follow-ups to ensure organizational alignment.
•  Maintain working trackers for the CEO’s major strategic initiatives and surface issues and milestones proactively
•  Coordinate with ownership’s household support on scheduling and logistics when CEO activities cross into owner-hosted events or travel.
•  Assist with preparation for strategic planning meetings, leadership meetings, and press communications.

Event & Travel Management
•  Plan and coordinate executive travel, including domestic and international winery visits, trade shows, and tastings
•  Assist in hosting VIP guests, investors, and partners at the winery
•  Support logistics for company events, leadership meetings, and offsite meetings.

Administrative Functions
•  Maintain organized filing systems (digital and physical)
•  Provide general administrative support as needed

Required Education and/or Experience
•  Minimum 5-7 years’ experience in a combined executive support and/or private household management role.

Required Knowledge, Skills, & Abilities
•  Senior-level executive assistant experience supporting the CEO in hospitality, luxury, wine, and/or arts.
•  Meticulous attention to detail, high discretion, and extremely organized.
•  Strong calendar, inbox, and travel management- comfortable with complex international logistics.
•  Proactive planning, critical thinking, and problem-solving skills.
•  Exceptional active listening, verbal, and written communication skills.
•  Able to interface confidently with ownership, board-level contacts, museums, press, and collectors.
•  Demonstrates excellent customer service and patience.
•  Flexible, responsive, and able to travel or set up meetings when necessary.
•  Must possess a friendly, professional demeanor and appearance.
•  Discretion and professionalism in handling confidential information.
•  Fluency with Google Workspace, Superhuman or comparable email tools, and common CRM/project management platforms; comfortable adopting new tools quickly.
•  Valid driver’s license is required.
•  Mandarin language skills are a plus, but not required.
•  Ability to work flexible hours, including occasional evenings and weekends

Schedule:
•  Monday- Friday; Weekends and holidays required- may vary.

Work Location:
•  On-site at The Donum Estate, Sonoma, CA
•  (if travel) state travel if necessary

Salary Range:
•  $90,000 to $130,000 plus bonus potential
