Position Summary
Vinattieri 1385 is seeking a highly organized, detail-oriented Marketing Assistant to support the Brand Marketing team across portfolio planning, sales tools, samples, trade hospitality, events, reporting, and day-to-day marketing execution. This role is ideal for someone who thrives in a fast-paced, collaborative environment and enjoys balancing administrative precision with brand-building work.
The Marketing Assistant will support marketing programs across the Vinattieri 1385 portfolio while helping coordinate trade hospitality experiences, winery visits, winemaker dinners, samples, submissions, collateral, and cross-functional communication.
Key Responsibilities
Marketing & Brand Support
Assist with tactical planning for annual business and marketing plans across the Vinattieri 1385 portfolio.
Support programs that strengthen brand positioning and commercial execution.
Assist with creation, updating, and distribution of sales collateral, including sell sheets, tasting notes, fact sheets, brand presentations, bottle shots, and other marketing assets.
Support ad hoc brand asset requests from sales, distributor partners, DTC, hospitality, and internal stakeholders.
Coordinate with creative agencies, communications partners, and internal teams on PR assets, brand tools, event materials, and marketing deliverables.
Assist in preparing presentations, business reviews, and meeting materials.
Samples, Submissions & Trade Materials
Lead the sample request process, working with Customer Service and internal teams to submit, track, and confirm delivery of wine samples.
Coordinate wine submissions to scoring publications, including shipment preparation, delivery tracking, and physical drop-offs when needed.
Track, organize, upload, and share published scores, reviews, and related materials with marketing, sales, DTC, hospitality, and other stakeholders.
Maintain and update distributor information databases and key trade platforms, including SGWS Proof or similar systems.
Trade Hospitality & Event Coordination
Manage trade hospitality requests for the Italian estates, working closely with Italian colleagues on availability, visit details, guest expectations, confirmations, and follow-up.
Coordinate with DTC hospitality teams at Stag’s Leap Wine Cellars, Antinori Napa Valley, and Col Solare to support trade visits, VIP tastings, estate experiences, and market-driven hospitality needs.
Maintain trade hospitality request forms, calendars, approvals, guest details, itineraries, and communication across all estates.
Track budgets for trade hospitality and event requests, ensuring costs are attributed to the correct sales budgets, invoices are processed accurately, and approvals are documented.
Manage OCM-related hospitality and event activity, including eligible spend tracking, documentation, reporting, and coordination with finance and sales.
Budget, Vendor & Administrative Support
Support marketing budget tracking and payment processing for vendors, media, contractors, events, and related expenses.
Maintain inventory and allocation tracking tools, including portfolio planning documents, vintage release calendars, release trackers, and related reports.
Support vendor communication, project timelines, shipping coordination, and follow-up to keep marketing projects on track.
Analysis, Reporting & Research
Support data gathering and reporting for brand, sales, marketing, and DTC business analysis.
Assist with DTC pricing analysis, competitor research, benchmarking, and other market research projects.
Community, Charity & Non-Profit Coordination
Lead coordination of the wine donation and charity program, including intake, vetting, approval tracking, communication, and fulfillment.
Coordinate communication and execution with local non-profit partners and charitable organizations, such as Napa Valley Vintners and Napa Winegrowers.
Qualifications
Education
Bachelor’s degree in Marketing, Business Administration, Communications, Hospitality, Wine Business, or a related field preferred.
Experience
2–4 years of work experience in marketing, hospitality, events, wine, luxury goods, CPG, or a related field preferred.
Wine industry experience strongly preferred; knowledge of the three-tier distribution system is a plus.
Experience supporting marketing collateral, events, trade hospitality, sales materials, samples, or administrative project coordination preferred.
Strong written and verbal communication skills with internal teams, trade partners, customers, vendors, and suppliers.
Proficiency with Microsoft Office 365 applications required.
Experience with distributor platforms, DAM systems, CRM tools, event systems, or project management tools is a plus.
Passion for wine, hospitality, brand building, and luxury consumer experiences.
