The Office Manager is responsible for 1) the efficient and productive running of multiple office environments; 2) overseeing the housekeeping department; and 3) ensuring all company residential and PHO properties are maintained in optimal functional and aesthetic condition. The Human Resources Generalist (HRG) serves as the backup for this position.


This position reports to: Chief Operating Officer


The responsibilities listed below outline the primary duties of the position and are not limited to those listed below:

Office and administrative management:
- Ensures all administrative locations run smoothly while maintaining high standards of functionality and presentation.
- Maintains, reviews, and suggests improvements to office standards, policies, and protocols.
- Assists the Controller with IT-related issues as needed, including the Microsoft Office Suite and asset management.
- Manages facility security operations, alarms, and user access across all company locations.
- Supports HRG and Hospitality Manager (HM) in planning and executing company-wide employee events.
- Coordinates seasonal wine allocations and tracks employee milestones and life events for recognition.
- Provides administrative and project management support for the President and COO, including coordination of construction projects, internal travel itineraries, and consulting activities.

Housekeeping management:
- Supervises housekeeping staff, ensuring all properties are maintained to the company’s high standards.
- Prioritizes and assigns projects, deploying all resources optimally while producing meticulous results.
- Oversees procurement of housekeeping and administrative department supplies.
- Addresses performance or staffing issues promptly and professionally. Conducts annual staff reviews.

Residential & administrative property management:
- Coordinates and oversees repairs, preventative maintenance, and vendor service work as required.
- Conducts bi-annual inspections of residential and office properties to ensure adherence to company standards.
- Reviews and evaluates maintenance contracts and vendor quotes to ensure cost-effectiveness and quality.

Specific qualifications & skills:
- Business: Proficient in managing the needs of diversified work environments with multiple locations. Ability to manage multiple high-priority projects while maintaining daily workflow.
- Relational: Develops strong relationships throughout the organization. Maintain a high level of confidentiality. A dependable resource for management and employees.
- Communication: Strong interpersonal, presentation, verbal, and written communication skills. Communicates well in any form of media: articulate, concise, clear, and transparent.
- Attitude: Cheerful, positive, considerate, creative, professional demeanor.
- Success drive/work ethic: Self-starter, able to handle rapidly changing priorities, Capable of working well under pressure. Anticipates, prepares, adapts, curious, organized, intuitive, relentless drive to excel.

Job requirements:
- At least 5 years of previous experience in office management, property management, and/or administrative support.
- Strong, well-developed organizational skills, with the ability to manage multiple areas and tasks simultaneously.
- High proficiency with Microsoft Office Suite.
- Basic knowledge and appreciation of fine wines with a dedication to ongoing learning.
- Must possess a valid driver’s license and an insurable driving record.
- Ability to lift and carry at least 50 lbs., or a 9L case of wine.
