Rack & Riddle Custom Wine Services, the #1 custom sparkling wine producer in the United States, is seeking to add a Compliance Specialist to our team.
The Compliance Specialist will be key member of our internal Compliance team, supporting our customer-first culture and ensuring regulatory excellence across the organization. This role combines regulatory research, project ownership, state agency communication, and hands-on execution. Responsibilities range from managing license applications and renewals to coordinating brand registrations and supporting compliance initiatives across the business. By staying current with federal, state, and local winery regulations, this position plays a critical role in preventing fines, penalties, and production delays. The Compliance Specialist helps safeguard the legal integrity of our operations while enabling efficient and compliant business practices.
Essential Responsibilities
Regulatory Compliance & Reporting
Prepare, submit, and track regulatory filings including COLAs, formulas, brand registrations, license applications, renewals, and state product registrations.
Complete and submit required compliance reporting, including monthly wholesale and direct-to-consumer (DTC) reports.
File state price postings, CRV reporting, and other required state submissions.
File FBNs with County Clerk offices and applicable agencies.
Maintain and track company licenses and permits; coordinate renewals and ensure timely submission.
Ensure all custom wine production activities comply with federal, state, and local regulatory requirements and industry standards.
Stay current on evolving alcohol beverage laws and regulations and implement necessary compliance updates.
Labeling & Product Compliance
Support all aspects of wine labeling compliance, including formula approvals, COLAs, and regulatory review.
Review and approve new items and product setups to ensure accuracy for production, inventory, tax, and compliance reporting.
Support new product and business development by researching regulatory requirements from TTB, FDA, and applicable state agencies.
Cross-Functional Collaboration & Client Support
Partner cross-functionally with production, sales, and business development teams to resolve complex compliance matters and support a seamless client experience.
Collaborate interdepartmentally to ensure products meet compliance standards prior to release to market.
Perform compliance review and approval of new customers during onboarding.
Collaborate with the Sr. Compliance Manager to develop, maintain, and improve compliance policies, procedures, and internal controls.
Support the implementation of process improvements and compliance best practices.
Documentation, Audit Support & Recordkeeping
Maintain organized compliance records, tracking logs, and regulatory documentation to support audits, inspections, and regulatory inquiries.
Create and maintain compliance tracking tools, summaries, and spreadsheets to support reporting and operational needs.
Ensure records are complete, accurate, and readily accessible.
Ad hoc research and other tasks as directed.
Requirements
The successful candidate’s background includes:
3+ years of experience in winery compliance or a related regulatory role.
Strong knowledge of regulatory requirements within the custom wine production and alcohol beverage industry.
Working knowledge of the three-tier distribution system.
Experience with compliance and ERP systems (e.g., ShipCompliant, Vintrace, NetSuite, or similar) preferred.
Familiarity with TTB systems, including COLAs Online, Formulas Online, and PONL.
Proven ability to manage multiple priorities in a fast-paced environment.
Exceptional attention to detail and commitment to accuracy and regulatory integrity.
Strong analytical and problem-solving skills with the ability to adapt to evolving client and regulatory needs.
Proficiency in Microsoft Excel and comfortable working with large datasets.
Strong communication skills and a customer-focused mindset.
Ability to maintain strict confidentiality and exercise sound judgment when handling sensitive information.
