Position Summary:
The Compliance Manager is responsible for executing all regulatory licensing, reporting, and other compliance activities. This role ensures adherence to all federal (TTB), state (CA ABC, CDTFA), and local regulations governing wine production, distribution, and sales. The successful candidate will safeguard the winery's operations by managing regulatory risk, maintaining meticulous production records, and facilitating seamless sales via three-tier distribution and Direct-to-Consumer (DTC) channels.
Key Responsibilities:
Licensing and Registrations
• Maintain, update, and renew all federal, state, and local licenses and permits for the primary facility, tasting rooms, and off-site storage locations.
• Manage the submission and approval process for all Certificates of Label Approval (COLAs), ensuring label accuracy before printing.
oMaintain knowledge of allowable changes
• Oversee out-of-state licensing, state brand registrations, and reporting for wholesale distribution and DTC shipping operations.
• Maintain and amend all permits as needed to accommodate operational changes.
Federal and State Reporting
• Prepare, reconcile, and file all required TTB reports, including the Report of Wine Premises Operations (Form 5120.17) and federal Excise Tax returns
• Manage and submit California state reports, including CA ABC returns
Leadership and Operations
• Manage a Compliance Specialist, maximizing productivity, knowledge, and growth.
• Partner cross-functionally in the organization to ensure timely execution of all compliance needs so as not to inhibit business opportunities.
• Maintain knowledge of Wholesale and DTC regulations and act as an internal advisor to the company, developing creative solutions for the US and French teams
• Research compliance matters as needed and prudently recognize when to involve outside counsel
• Responsible for organizing and storing all corporate documents, ensuring strict adherence to statutory record retention requirements
• Embrace emerging technologies and look for opportunities to automate or streamline manual processes. Facilitate continuous improvement through modernization of all compliance functions.
• Continuing Education: Participate in educational activities, at minimum annually, to ensure knowledge of compliance rules meet industry standards.
Minimum Qualifications
• Experience: 5+ years of regulatory compliance experience in the alcoholic beverage industry
• Education: Bachelor's Degree
• Technical Skills: Proficiency with Microsoft Office, winery management software (e.g., InnoVint, Vintrace), ERPs (e.g. Microsoft Business Central) and Compliance platforms (e.g. ShipCompliant)
• Communication: Strong ability to translate complex regulatory requirements into actionable guidance for cross-functional teams, including winemaking, wholesale operations, and DTC sales.
• A certified Notary Public is a plus
Physical Requirements/Work Environment
• Light physical activity performing non-strenuous daily activities of an administrative nature. Manual dexterity sufficient to reach, handle items, and work with the fingers. May require lifting and moving objects up to 20 lbs. in weight. Clear vision, close and distant, and ability to adjust focus. Hearing adequate for telephone and office level conversation.
• This is a largely sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary.
Work Environment
• Primarily in a well-lit, heated and/or air-conditioned indoor setting with adequate ventilation. This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, copiers, and filing cabinets. Noise levels are typical of office space (public conversations, phone calls).
Schedule and Travel Requirements
• Primarily a set weekday schedule without expectations to travel.
